What to expect:
The Recruiting Coordinator provides essential administrative and operational support throughout the recruiting and early onboarding process for hub and line-station locations. This role manages candidate communications, pre-employment clearances, onboarding planning and coordination, new hire orientation logistics, and detailed candidate tracking. The position works closely with recruiters, candidates, hiring managers, and other stakeholders to ensure an accurate, timely, and positive hiring experience. Success in this role requires exceptional attention to detail, strong organizational skills, the ability to meet strict deadlines, and flexibility to travel up to 75% to support hiring events, fingerprinting, and other Talent Acquisition initiatives.

How you will make an impact:
- Track candidate information and maintain accurate, up-to-date candidate statuses across hub and line-station recruiting operations.
- Manage candidate correspondence and follow-up, including offer paperwork, pre-employment requirements, onboarding information, training schedules, and other time-sensitive communications.
- Monitor candidate clearances and follow up regularly to support timely completion of background checks and other required pre-employment screenings.
- Document background checks and other pre-employment requirements, escalating potential issues to the appropriate United Ground Express (UGE) or other support teams and leadership.
- Schedule interviews and coordinate interview days, candidate travel arrangements, and expense reimbursements.
- Schedule new hire orientation sessions and prepare and distribute logistics communications to candidates and stakeholders.
- Manage department email inboxes, ensuring inquiries and stakeholder communications are addressed accurately and within established timelines.
- Perform administrative functions related to creating and activating employee profiles, and other required systems.
- Organize and maintain accurate candidate and recruiting records, including applicant files, Equal Employment Opportunity (EEO) tracking, and other compliance documentation.
- Manage data entry and candidate communications related to the hub early badging process.
- Support onsite hiring events and fingerprinting needs across all hub and line-station locations.
- Develop advanced knowledge of the applicant tracking system (ATS), serving as a subject-matter expert and resource for system processes, data accuracy, and troubleshooting.
- Provide administrative support to the Talent Acquisition team, including completing phone screens, preparing reports, ordering supplies, scheduling meetings, coordinating travel, and completing other related activities.
- Demonstrate exceptional attention to detail while managing competing priorities and meeting strict, time-sensitive deadlines.
- Travel up to 75% to support hiring events, fingerprinting, onboarding activities, and other Talent Acquisition needs across hub and line-station locations.

What you will bring:
Required Experience, Qualifications & Skills:
- High School diploma
- 2+ years of administrative support experience
- Advanced proficiency in Microsoft Office applications, specifically Excel
- Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Genuine commitment to creating an exceptional candidate and employee experience
- Ability to travel up to 75% based on business needs
- Strong organizational skills with exceptional attention to detailÂ
Preferred Qualifications
- Experience with Applicant Tracking Systems (ADP)
- Associate’s degree
- Experience in a Human Resources, Recruitment, or Staffing environment and/or familiarity with talent acquisition processesÂ
