Your RoleĀ 

Gensler’sĀ ChicagoĀ office is seeking a Studio Coordinator. This position will support Principals, Studio Leaders, and all members of the team asĀ required.Ā 

What You Will DoĀ 

  • Maintain Principal's and Studio Leaders' calendarĀ 

  • Maintain and support relationships with clients and prospective clientsĀ 

  • AssistĀ with marketing efforts asĀ neededĀ (e.g.Ā supportingĀ responsesĀ to RFPs)Ā Ā 

  • Generate, compose, proof, format, and issue business correspondence as appropriateĀ 

  • Type and file project correspondence and meeting notes for team membersĀ 

  • Meeting coordination with Office Services Coordinator including setting up for meeting/presentation room,Ā assistingĀ with ordering lunch for team/client, coordinating overnight client stays, organizing client entertainment, etc.Ā 

  • Organize project files and spreadsheets relating to correspondence with the clients and consultantsĀ 

  • Provide backup to other studio coordinators as neededĀ 

  • Provide backup to the receptionist as neededĀ 

  • Responsible for making travel reservations for studio members and coordinating through the Firmwide Travel agency as required or other resources asĀ designatedĀ by GenslerĀ 

  • Organize and attend weekly studio leadership meetingĀ 

  • Maintain professional credentials for theĀ PrincipalsĀ in the studioĀ 

  • Complete other tasks asĀ requiredĀ or needed including but not limited to various public relations compositions and mailings, opening and distributing mail and other incoming packages for the Studio Leaders; stamping or preparation and mailing of outgoing mail and overnight packagesĀ 

  • Coordinate dead filing as needed for the project filesĀ 

  • Manage the studio PTO calendarĀ 

  • Work with studio staff members to help complete expense reports and timesheets on timeĀ 

  • Collect studio members’ timesheets for the Studio Directors approvalĀ 

  • CompleteĀ research projects as neededĀ 

  • Greet clients for meetings andĀ assistĀ clients over the phone when neededĀ 

  • Organize monthly studio meetingsĀ 

  • Encourage studio morale by organizing occasional in-studio happy hoursĀ 

  • Update marketing reports every weekĀ 

  • Update staffing reports every weekĀ 

  • Miscellaneous tasks requested orĀ designatedĀ by Studio Principals, any Studio Leader, or team member of GenslerĀ 

Your QualificationsĀ 

  • Minimum 5Ā years experienceĀ in a professional administrative positionĀ 

  • A/E/CĀ industryĀ experience is a plusĀ 

  • Must show ability to problem solve, both individually and as part of a project teamĀ 

  • Must type a minimum of 65 wpmĀ 

  • High School degree withĀ appropriate experienceĀ or Business School Certificate or College DiplomaĀ 

  • High Level ofĀ proficiencyĀ with Microsoft Products, Word, Excel, PowerPoint,Ā and alsoĀ with Adobe Products such as In-Design, Illustrator, and/or PhotoshopĀ 

  • Excellent verbal and communication skillsĀ 

  • Ability to prioritize business responsibilitiesĀ 

  • Must be able to communicate clearly and articulately over the phoneĀ 

  • Must be a motivated self-starterĀ 

  • Positive attitude, willingness to ā€œgo the extra mileā€Ā 

  • Ability to work independently with minimal guidanceĀ 

  • Must be available for overtime on an as-needed basisĀ
