POSITION OVERVIEW

The Workplace Experience Coordinator serves as the operational and cultural hub of the office, ensuring employees, guests, and partners experience a seamless, welcoming, and highly functional workplace environment. Reporting to the Director of People & Culture, this role is on the People & Culture (HR) team to complement the People Operations Manager and Talent Acquisition Manager by owning the day-to-day employee workplace experience.


This position combines responsibilities traditionally spread across front desk administration, office management, facilities coordination, vendor management, workplace hospitality, employee engagement, and technology support. The role serves as the primary point of contact for workplace operations and is responsible for maintaining an organized, service-oriented, and employee-focused office environment.


REPORTING STRUCTURE

  • Reports To: Director of People & Culture (Head of HR)
  • Direct Reports: Front Desk Assistant (Temps as needed)
  • Cross Functional Partners: People Operations Manager, Talent Acquisition Manager, Accounting Manager, Executive Assistant, IT Managed Service Provider, Facilities & Building Management Partners

KEY RESPONSIBILITIES


Workplace Experience & Hospitality

  • Manage front desk operations and visitor experience.
  • Coordinate conference rooms, hospitality, food and beverage service, and guest services.
  • Ensure the office is professional, welcoming, and ready for meetings, events, and client visits. 
  • Other duties as assigned or needed to support workplace initiatives, events, and operations.

Office Communications & Coordination

  • Serve as the primary communication hub for office-related announcements, office logistics, deliveries, facilities updates, and workplace notifications.
  • Coordinate workplace scheduling requests, conference room utilization, office resources, and employee support needs.
  • Facilitate communication between employees, vendors, building management, and service providers to ensure timely issue resolution.

Facilities & Vendor Management

  • Oversee building operations, maintenance requests, office services, inventory management, and workplace readiness.
  • Manage relationships with cleaning, landscaping, technology, and other service vendors.
  • Serve as the primary coordinator for office-related issues, repairs, and operational needs. 

Office Safety, Compliance & Continuity

  • Serve as the primary coordinator for office-related emergencies, workplace incidents, and business continuity needs.
  • Partner with building management and vendors to maintain a safe, compliant, and operational workplace environment.
  • Support office access management, visitor protocols, and workplace security processes.

Employee Experience & Events

  • Lead the LG Connect employee committee to plan and execute internal events, celebrations, employee engagement activities, and workplace culture initiatives.
  • Partner with the People & Culture team to create meaningful moments that strengthen employee connection and reinforce company culture. 

Financial & Administrative Operations

  • Develop and manage office and event budgets.
  • Process and verify invoices related to workplace operations and vendor services.
  • Monitor operational spending and ensure cost-effective management of workplace resources. 

Technology Support

  • Provide first-line support for workplace technology and office systems.
  • Coordinate with third-party IT provider and assist with conference room technology, printers, scanners, phones, and employee workplace support needs.
  • Help ensure employees have productive and frictionless in-office experiences.

This role may require occasional evening support outside of the standard business hours for workplace events.


Requirements

 REQUIRED QUALIFICATIONS

  • 2+ Years in a hospitality, customer service, office coordination role
  • A passion for helping others succeed and creating a welcoming physical work environment
  • Strong communication skills with a focus on relationship building
  • A keen eye on detail and organizational skills
  • Flexibility and adaptability to business needs
  • High energy level, comfortable performing multifaceted projects in conjunction with day-to-day activities.
  • Ability to work in-office onsite Monday through Friday 8 a.m. to 5 p.m.

PREFERRED QUALIFICATIONS

  • Experience supporting workplace operations, facilities management, hospitality, event planning, or office administration.
  • Experience managing vendors, budgets, invoices, or operational projects.
  • Proficiency with Microsoft Office Suite, Teams, Outlook, and workplace technology systems.
  • Ability to prioritize multiple competing demands while maintaining exceptional customer service.
