OVERVIEW
We are currently seeking a Graphic Coordinator Intern for our Midwest Region, in Chicago.
This position supports our proposal and pursuit teams by translating strategy and technical content into clear, compelling visual storytelling. The Graphic Coordinator Intern will assist with proposal graphics, data visualization, template/compliance formatting, and production support under deadline-driven environments.
RESPONSIBILITIES
Some duties and responsibilities include:
Visual Strategy & Win Themes Support
Develop visual concepts aligned with proposal win themes
Create branded templates tailored to the client
Reinforce differentiators through layout, graphics, and visual hierarchy
Support capture strategy by visually emphasizing strengths
Data Visualization & Infographics
Turn technical/process content into diagrams and flowcharts
Create org charts, schedules, and staffing plans
Design process maps and technical workflows
Visualize KPIs, metrics, and past performance data
Develop comparison charts
Template & Compliance Design
Set up page templates that meet strict RFP formatting rules
Manage styles, headings, TOCs, and numbering systems
Ensure correct margins, fonts, page limits, and section breaks
Design reusable proposal libraries and master templates
Standardize graphics for consistency
Brand & Client Customization
Tailor color palettes and visual accents to match the client agency
Integrate project photography strategically
Ensure visual consistency across volumes
Maintain brand integrity while adapting to pursuit needs
Production & Deadline Support
Rapid turnaround on graphics during red team reviews
Update layouts during late-stage content changes
Final QA of visuals before submission
Manage print-ready files and digital submission packaging
Support interactive PDFs
Collaboration with Proposal Teams
Ability to interpret rough sketches from engineers
Comfort with redlines and version control
Strong communication under deadline pressure
Understanding of proposal color team reviews (Pink, Red, Gold, etc.)
QUALIFICATIONS
Technical Skills
Adobe Creative Suite (InDesign)
PowerPoint
Illustrator for diagrams
Word template expertise
PDF optimization
General Qualifications
Seeking a bachelor’s degree is preferred
The ability to work a 12-week work schedule is preferred
