Parts Manager Responsibilities:

Inventory & Parts Management:

  • Oversee the purchasing, stocking, distribution, and tracking of parts, fluids, filters, and shop supplies.
  • Maintain accurate inventory levels using ERP and inventory management systems (e.g., Tenna, Workday).
  • Manage core returns, warranties, and backorders with vendors.
  • Monitor critical parts usage trends and adjust inventory levels accordingly.


Vendor & Cost Control:

  • Build and maintain relationships with suppliers to ensure competitive pricing, reliable delivery, and high-quality parts.
  • Solicit quotes, negotiate pricing, and process purchase orders.
  • Approve invoices, verify deliveries, and ensure accurate billing.


Team & Shop Support:

  • Supervise parts counter staff and support technicians in identifying correct parts for service and repairs.
  • Coordinate with fleet managers, mechanics, and operations teams to anticipate needs.
  • Ensure organization and cleanliness of parts storage areas.


Technology & Reporting:

  • Use software platforms for ordering, inventory tracking, cost analysis, and reporting.
  • Assist with audits, cycle counts, and compliance with safety/environmental standards.
  • Generate and review usage and cost reports regularly.

Desired Qualifications:

  • 3–5 years of experience in a parts department or equipment maintenance environment, preferably in construction, transportation, or heavy equipment.
  • Prior experience managing inventory, vendors, and purchasing processes.
  • Mechanical aptitude and knowledge of diesel equipment, vehicles, and related components.
  • Strong organizational, problem-solving, and multitasking skills.
  • Proficiency in Microsoft Office Suite; familiarity with ERP software (Tenna, Workday, etc.) preferred.
  • High school diploma or GED required; technical certification or college coursework preferred.
