We are seeking a Practice Administrator / Healthcare Operations Director who can combine strategic thinking with operational execution. This individual will partner closely with physician owners and practice leadership to drive organizational initiatives, strengthen accountability, coordinate multi-site operations, and enhance the patient and employee experience.

Position Summary
The Practice Administrator / Healthcare Operations Director serves as the senior operational leader for the practice, overseeing administrative operations, human resources, facilities, provider onboarding, strategic projects, and organizational initiatives.

This individual will work closely with physician leadership to translate vision into action, improve organizational effectiveness, support future growth opportunities, and create consistency across practice locations.

Key Responsibilities
Operational Leadership
- Oversee administrative and business operations across multiple practice locations.
- Develop and implement operational processes that improve efficiency, consistency, and accountability.
- Lead cross-functional initiatives that enhance patient experience, employee engagement, and organizational performance.
- Monitor key operational metrics and identify opportunities for continuous improvement.
- Ensure consistency of workflows, policies, and service standards across all locations.
- Serve as a trusted operational advisor to physician leadership.

Strategic Growth & Special Projects
- Lead organizational initiatives from planning through implementation.
- Support practice expansion efforts, facility planning, renovations, and new location development.
- Coordinate provider onboarding, growth planning, and operational readiness for new physicians and advanced practice providers.
- Evaluate staffing, workflow, and capacity needs to support future growth.
- Assist with strategic planning and implementation of organizational priorities.

Leadership & Human Resources
- Provide leadership and oversight for recruitment, onboarding, employee relations, performance management, and benefits administration.
- Partner with managers to address employee concerns, coaching opportunities, disciplinary matters, and performance issues.
- Foster a culture of accountability, professionalism, collaboration, and continuous improvement.
- Support employee development and retention initiatives.
- Oversee leave administration, workers' compensation, disability programs, and compliance with employment laws.

Business & Administrative Oversight
- Coordinate payroll administration, accounts payable processes, vendor management, and related business operations.
- Assist physician leadership with budgeting, operational planning, and resource allocation.
- Manage vendor relationships, negotiations, and service agreements.
- Oversee retirement plan administration, employee benefit programs, and insurance renewals.
- Support annual audits, reporting requirements, and administrative compliance activities.

Compliance & Risk Management
- Oversee provider credentialing and licensing activities.
- Ensure compliance with applicable healthcare regulations, employment laws, and organizational policies.
- Coordinate risk management efforts, insurance programs, and regulatory reporting requirements.
- Partner with external advisors, consultants, and legal counsel as needed.

Patient & Physician Support
- Serve as an escalation point for complex patient concerns and service recovery situations.
- Facilitate communication and collaboration between physician owners, clinical teams, and administrative staff.
- Help drive decisions and maintain forward momentum on organizational initiatives.
- Support physician leaders in implementing decisions and achieving strategic objectives.

Qualifications

Required
- Bachelor's degree in Healthcare Administration, Business Administration, Healthcare Management, or related field.
- Five or more years of progressive healthcare leadership experience.
- Experience managing operations within a physician practice, ambulatory healthcare organization, or multi-site healthcare setting.
- Strong leadership, organizational, project management, and communication skills.
- Experience leading organizational change and implementing new initiatives.
- Ability to manage multiple priorities while maintaining strong attention to detail.
- Extensive experience overseeing the full medical practice revenue cycle, including billing operations, accounts receivable, collections, reimbursement, and revenue optimization.
- Strong financial acumen with experience interpreting practice financial statements, productivity and revenue cycle reports, and key performance metrics to drive operational and financial performance.

- Master's degree (MBA, MHA, or related field).
