The Registration Clerk serves as a frontline customer service and administrative support professional within the Office of the Registrar. This position is responsible for processing student records, maintaining accurate data, preparing reports, assisting with registration activities, and ensuring compliance with the Family Educational Rights and Privacy Act (FERPA). The Registration Clerk provides exceptional customer service to students, faculty, staff, and external constituents while supporting enrollment and registration operations.

Primary Duties and Responsibilities

Customer Service and Front-Line Support 

  • Assist walk-in customers by providing information regarding registration, academic records, and university policies.
  • Answer, screen, and route incoming telephone calls.
  • Respond to email inquiries in a timely and professional manner.
  • Serve as a central point of contact for students, faculty, staff, and external constituents.
  • Troubleshoot registration issues by reviewing student records, registration restrictions, prerequisite/corequisite requirements, academic standing, holds, and system-generated errors.
  • Provide guidance regarding university forms, procedures, and services.

Student Records Processing and Administrative Support 

  • Process a variety of forms and requests submitted to the Registrar’s Office, 
  • Verify submitted documentation for accuracy and completeness.
  • Maintain confidentiality and security of student records in accordance with FERPA and university policies.
  • Accurately enter, update, and maintain student information within university systems.

Records Management and Reporting 

  • Monitor and process daily Banner Worklists, Argos reports, RW/HC lists, and Quality Control reports.
  • Process incoming and outgoing mail.
  • Upload, scan, index, and maintain electronic records within the Perceptive Content Management System.
  • Distribute forms, correspondence, and materials as appropriate.
  • Prepare reports and assist with data collection and record maintenance activities.
  • Ensure the accuracy and integrity of student information maintained within university databases.

University Support and Event Assistance 

  • Support commencement exercises and graduation-related activities.
  • Assist with Governor's Orientation (G.O.) registration events and other enrollment initiatives.
  • Collaborate with Admissions, Student Financial Aid, Student Account Services, Academic Departments, Veteran Education Benefits, and other campus partners to provide comprehensive student support.
  • Participate in special projects and office initiatives as assigned.

Training and Operational Support 

  • Train and assist student workers in office procedures, customer service standards, and records management practices.
  • Provide guidance on registration processes and university systems.
  • Assist with workflow improvements and process enhancements.
  • Support office operations during peak registration and enrollment periods.

Knowledge, Skills, and Abilities

  • Ability to identify issues, gather relevant information, compare data from multiple sources, and recommend appropriate solutions.
  • Ability to analyze situations independently, identify root causes, evaluate alternatives, and make sound decisions based on available information and established procedures.
  • Ability to coordinate activities, monitor workflows, manage multiple priorities, and maintain quality standards in a fast-paced environment.
  • Ability to manage multiple priorities and deadlines during peak registration periods.
  • Excellent written and verbal communication skills.
  • Ability to communicate clearly and professionally with various audiences.
  • Strong listening skills and ability to respond appropriately to inquiries and concerns.
  • Ability to learn and utilize university software applications, including Banner, Argos, Perceptive Content, Smartsheet, and other related systems.

Required Minimum Qualifications:

  • High school diploma or equivalent required; associate degree preferred.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience working with databases, document imaging systems, and student information systems.
  • Experience in customer service, office administration, records management, higher education, or a related field preferred.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and collaboratively in a team environment.

Physical Conditions:

  • Office environment with extensive interaction with students, faculty, staff, and the public.
  • Frequent use of computers and office equipment.
