The Community Programs Administrative Specialist supports the operations of the Community Programs Division by coordinating program schedules, assisting with administrative tasks, preparing reports, and delivering high‑quality customer service to visitors and partner organizations. Working closely with the Senior Manager of Community Programs, this role helps ensure the smooth and efficient functioning of all division activities.

The ideal candidate is a highly organized, detail‑oriented professional with a strong commitment to public service and environmental education. They excel at multitasking, communicate clearly, and provide exceptional customer service. They demonstrate proficiency with administrative coordination and software tools, work well both independently and collaboratively, take initiative, and consistently maintain accuracy in their work. Their positive attitude and reliability contribute to a supportive and productive team environment.

Key Responsibilities:

  • Coordinates scheduling of educational programs, staff, and facility spaces using calendar software.
  • Assists with daily operations including opening/closing the building, maintaining cleanliness, and restocking supplies.
  • Manages purchasing and bookkeeping tasks, including budget tracking, invoice processing, and reporting.
  • Tracks attendance for programs, rentals, and walk-in visitors using web-based software.
  • Provides customer service by answering phones, responding to inquiries, managing departmental email inboxes, and assisting visitors.
  • Supports program publication by proofreading, editing content, updating the website, and managing promotional materials.
  • Maintains records and reports in compliance with park district policies.
  • Participates in required meetings and training sessions, including CPR certification, financial protocol training, and other relevant professional development activities.
Qualifications

Education and Experience: High School Diploma or GED required supplemented by three years of experience in office management, professional communications, or customer service; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.

Qualifications:

  • Valid driver’s license under the laws of the State of Ohio required.
  • Proficiency in Microsoft Office Suite, especially Outlook, Excel, and Word.
  • Strong interpersonal skills and ability to work effectively with staff, volunteers, and the public.
  • Excellent written and verbal communication skills.
  • High level of accuracy and organizational ability.
  • Ability to manage multiple tasks and meet deadlines.
  • Ability to work independently and exercise discretion, including handling confidential information.
  • Professional demeanor and collaborative attitude.

Work Days: Monday – Friday, with the ability to work evenings and weekends as needed

Work Location: This position reports to Garfield Park Center

Mobile Outreach delivers free, high‑quality educational programming with a focus on communities that have limited access to Cleveland Metroparks. With our fully equipped mobile nature center, our team brings hands‑on learning, wildlife education, and nature exploration directly to neighborhoods so the parks come to our guests.

Youth Outdoors partners with youth‑serving organizations to design and lead customized outdoor experiences that support each group’s goals and interests. Core activities include hiking, biking, fishing, canoeing, kayaking, camping, snowshoeing, cross‑country skiing, team‑building challenges, nature exploration, service projects, and more. Through these experiences, we help young people build confidence, develop outdoor skills, and form lasting connections with nature.
