Job Summary
The New Hire / Onboarding Specialist is responsible for creating a smooth, organized, and welcoming onboarding experience for new employees. This role coordinates pre-employment activities, orientation programs, onboarding documentation, system access, and cross-functional communication to ensure employees successfully transition into the organization.
The specialist works closely with Human Resources, hiring managers, IT, payroll, and department leaders to improve employee engagement, compliance, and retention during the onboarding process.
Key Responsibilities
- Coordinate and manage the full onboarding process for new hiresÂ
- Prepare offer packets, onboarding documents, and employment formsÂ
- Conduct new employee orientation sessionsÂ
- Ensure completion of I-9s, tax forms, background checks, and compliance documentationÂ
- Collaborate with hiring managers to prepare onboarding schedules and training plansÂ
- Coordinate equipment setup, badges, email accounts, and system access with ITÂ
- Maintain accurate employee records in HRIS systemsÂ
- Respond to new hire questions regarding policies, benefits, payroll, and company proceduresÂ
- Track onboarding progress and ensure timely completion of required tasksÂ
- Support employee engagement initiatives and early retention effortsÂ
- Monitor onboarding metrics and recommend process improvementsÂ
- Maintain confidentiality of employee information and HR recordsÂ
- Assist with recruitment, scheduling interviews, and other HR administrative tasks as neededÂ
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field preferredÂ
- 1–3 years of HR, onboarding, recruiting, or administrative experienceÂ
- Knowledge of HR practices and employment regulationsÂ
- Experience using HRIS or applicant tracking systems, Paylocity experience is a plus
- Strong organizational and time management skillsÂ
- Excellent written and verbal communication skillsÂ
- Ability to handle confidential information professionallyÂ
- Proficiency in Microsoft OfficeÂ
