The Human Resources Assistant represents the Human Resources Department in being the first line of sight with all guests and employees to the Human Resources Department.  Exhibiting positive enthusiasm with a helpful and professional smile, the Human Resources Assistant will be diligent in working with leaders, candidates, new employees, students, and contracted staff to offer an excellent experience within the department.

DUTIES & RESPONSIBILITIES

Human Resources Support

  • Assists employees with general Human Resources inquiries.
  • Answers Human Resources phone calls and transfers as applicable.
  • Monitors the Human Resources fax and mailbox, responding to or routing inquiries as appropriate.
  • Prepares Human Resources correspondence and announcements.
  • Processes employee terminations in Workday, schedules exit interviews, and notifies the appropriate departments to remove access to facilities and systems.

Onboarding Support

  • Monitors and helps leaders to maintain job requisitions in Workday to ensure data accuracy.
  • Supports candidates with the application process as needed.
  • Creates candidate documents and facilitates candidate progression in a timely manner.
  • Coordinates New Hire Orientation, including scheduling, notifications, materials, and set-up.
  • Ensures completion of new hire contingencies, including background checks, drug screens, and verification of licensure and certifications prior to start date.
  • Partners with IS and EPIC teams to ensure all appropriate permissions and access is granted to new hires.
  • Coordinates with students/agencies, department leaders, IS and EPIC teams, and Employee Health to onboard students and contract employees.

Documentation

  • Scans personnel file information into Workday and updates the employee’s Workday profile as necessary.
  • Audits, reviews, and maintains employee file documentation for compliance, and scans records into Workday. 

QUALIFICATIONS

Required

  • Two years of experience in Human Resources.
  • Experience with Microsoft Word and Excel.
  • Strong customer service skills to provide positive employee, leadership, and vendor experience.
  • Effective and professional in both written and verbal communications.

Preferred

  • Healthcare experience.
  • Associate’s degree in related field.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

This position is primarily worked in an office environment.  Primarily stationary with occasional standing, walking, lifting, reaching carrying, kneeling, bending, stooping, pushing and pulling of objects weighing up to 20lbs.  The position requires continuous finger dexterity and fine manipulation.

The employee must demonstrate the ability to perform the essential functions of the position, with or without reasonable accommodation.
