JOB TITLE: IT TECHNICAL WRITER

DEPARTMENT: IT & SYSTEMS

REPORTS TO: SENIOR IT & SYSTEMS MANAGER

CLASSIFICATION: EXEMPT 

 

PRIMARY FUNCTION 

The IT Technical Writer develops clear, consistent, and user‑ready documentation to support IT Operations, Systems Administration, Engineering, and Cybersecurity functions. Working closely with technical subject‑matter experts and cross‑functional stakeholders, this role translates complex operational practices and requirements into well‑structured documentation including policies, procedures, plans, diagrams, workflows, and related materials. This role will also evaluate existing documentation for clarity, accuracy, consistency, and alignment with organizational standards and compliance expectations.

 

A key responsibility of this position is producing and maintaining documentation that supports cybersecurity and compliance initiatives, including CMMC, NIST, Cyber Essentials, and other regulatory frameworks. All deliverables must meet the rigor required in regulated environments and be suitable for end‑users, technical teams, auditors, and external reviewers.

 

MAJOR DUTIES AND RESPONSIBILITIES  

  • Draft, edit, and maintain a wide range of cross‑functional documentation, including policies, procedures, plans, standards, templates, and supporting artifacts.
  • Partner with senior technical, operational, and compliance leadership to capture intent, requirements, and real‑world practices, translating them into clear, usable, and well‑structured documentation.
  • Review existing documentation for completeness, clarity, consistency, and alignment with organizational standards and relevant frameworks (e.g., NIST‑style controls and evidence artifacts).
  • Develop and refine documentation for cybersecurity and compliance initiatives (e.g., CMMC, NIST, Cyber Essentials), ensuring materials meet organizational expectations and are audit-level review.
  • Manage documentation hygiene, including version control, formatting standards, naming conventions, and scheduled review cycles.
  • Support assessment and audit readiness by preparing and organizing documentation packages, mapping artifacts to requirements, and incorporating reviewer feedback.
  • Create or update diagrams, process flows, and executive-ready visual materials as needed.
  • Maintain documentation repositories to ensure controlled access, organization, and traceability.
  • Track action items, document review status, and required updates; proactively follow up with owners to keep deliverables on schedule.
  • Perform other related duties as required.
      

BASIC QUALIFICATIONS 

  • High School diploma or GED and minimum 5+ years of professional technical writing experience.
  • 1+ year of experience authoring formal policies, procedures, standards, or governance documentation.
  • Experience working in federal, government-adjacent, or other regulated compliance environments (e.g., federal contracting, quality systems, IT governance).
  • Strong ability to quickly learn new technical, operational, and regulatory concepts and accurately translate them into clear written materials.
  • Excellent written communication skills with strong attention to detail and version‑control discipline.
  • Must possess or be eligible to obtain and maintain, a U.S. security clearance. 

 

PREFERRED QUALIFICATIONS 

  • Experience supporting cybersecurity or compliance frameworks such as CMMC, NIST, Cyber Essentials, FedRAMP, FISMA, or similar.
  • Background in IT, cybersecurity, systems engineering, or compliance-adjacent roles.
  • Experience producing and maintaining documentation in SharePoint environments.
  • Familiarity with tools such as Visio and PowerPoint for diagrams and executive-ready materials.
  • Prior experience supporting audits, assessments, or external reviews.

 

PHYSICAL REQUIREMENTS 

  • Primarily office/desk-based work using standard office equipment.
  • May require occasional meetings outside standard hours to support audit/assessment timelines.
  • Ability to sit for extended periods and operate a computer and other office productivity tools.
