Job Description

IGL4US is seeking an organized, proactive, and detail-oriented Event Coordinator to join our team in College Station, TX.

In this role, you will help coordinate events from the early planning stages through successful execution. You will work closely with internal teams, vendors, venues, and other partners to ensure every detail is properly organized and each event runs smoothly.

The ideal candidate is a strong communicator who enjoys planning, problem-solving, building relationships, and working in an environment where priorities can evolve quickly.

Responsibilities

  • Assist with the planning, coordination, and execution of company events and related activities.
  • Coordinate event schedules, timelines, logistics, vendors, venues, and required materials.
  • Communicate with internal teams and external partners to ensure event requirements are clearly understood.
  • Help manage event setup, execution, and breakdown activities.
  • Maintain organized event documentation, schedules, contact information, and planning materials.
  • Monitor deadlines and follow up with vendors and team members on outstanding items.
  • Support budgeting, purchasing, invoicing, and expense tracking related to events.
  • Identify potential logistical issues and help develop practical solutions.
  • Provide professional support to attendees, vendors, guests, and business partners.
  • Ensure events maintain a professional presentation and reflect IGL4US standards.
  • Assist with post-event evaluations and identify opportunities to improve future events.
  • Handle multiple projects and priorities while maintaining strong attention to detail.
