Purpose of the role
The Principal Document Controller – Field Services is responsible for leading the document control function on large or complex projects while serving as the primary authority on document management systems, processes, and project documentation requirements. You will ensure that all project documentation is accurately logged, managed, distributed, and maintained within the Electronic Document Management System (EDMS) while preserving complete project records throughout the life of the project.

Acting as both a technical specialist and project lead, you will oversee document control activities, establish effective document management practices, and provide guidance to project teams and less experienced document control personnel. You may also serve as a system specialist, supporting the enhancement and optimization of document control tools, workflows, and reporting processes.
Working with a high degree of autonomy, you will manage complex document control challenges, maintain database integrity, and ensure that project information remains complete, accurate, compliant, and readily accessible to support project execution.

You will be responsible for:

  • Managing complex document workflows between engineering, procurement, construction, quality, project controls, suppliers, contractors, and customer organizations.
  • Ensuring all project documentation is issued, received, reviewed, and archived in accordance with company procedures and customer requirements.
  • Monitoring document progress and proactively identifying issues that could impact project schedules, deliverables, or information flow.
  • Preparing and maintaining document registers, transmittals, tracking logs, performance metrics, and document status reports.
  • Supporting project turnover and closeout activities through the development and verification of final documentation packages.
  • Conducting document audits and quality reviews to ensure database integrity, accuracy, completeness, and compliance.
  • Providing technical guidance and mentorship to document controllers and project personnel regarding document management practices and systems.
  • Troubleshooting complex document control system issues and supporting system enhancements and process improvements.
  • Supporting development and implementation of new document control systems, workflows, reporting tools, and best practices.
  • Coordinating customer document requirements and ensuring alignment with contractual obligations and project standards.
  • Supporting continuous improvement initiatives that enhance document control efficiency, compliance, and project performance.
  • Maintaining confidentiality and security of sensitive project documentation and controlled information.
