Office Manager – Floor Coverings International (Montgomery County, PA)
Location: On-site | Collegeville, PA

We are seeking an exceptional Office Manager who will serve as the operational hub and customer experience champion of our business. This is a highly independent, ownership-driven role. While you will collaborate closely with the sales team and franchise owners, you will often be the primary team member working in the office while the sales team is in the field meeting clients.

This position is ideal for someone who enjoys autonomy, takes initiative without being prompted, and takes pride in keeping a business running smoothly behind the scenes.

What You’ll Do

Customer Experience & Lead Management

  • Respond promptly to inbound leads and schedule appointments for the sales team

  • Follow up on open proposals to help convert opportunities into booked jobs

  • Answer customer calls and return messages quickly and professionally

  • Reconfirm appointments and installation dates

  • Send preparation instructions and ensure customers feel informed and confident


Marketing Support

  • Assist with local marketing initiatives including direct mail campaigns - Must have experience with all social media platforms
  • Execute email marketing campaigns using CRM segmentation

  • Manage and post to Google, Facebook, Instagram, and other social platforms

  • Help increase local visibility, engagement, and brand awareness


Production & Scheduling

  • Schedule installations at the convenience of the customer

  • Order products accurately and track deliveries

  • Communicate start dates and timelines clearly

  • Meet weekly with the sales team to review customer expectations and product orders

  • Keep Salesforce updated daily with job status and scheduling


Administration & Systems

  • Maintain accurate and up-to-date records in Salesforce

  • Add new leads and customers

  • Record deposits and update job statuses

  • Order samples and track product orders

  • Keep calendars accurate and organized


Financial Coordination

  • Invoice customers for deposits and final balances (Salesforce & PNC Portal)

  • Submit weekly business expenses in QuickBooks Online

  • Pull reports from Salesforce

  • Maintain a marketing expense tracker

Continuous Improvement

  • Attend weekly meetings with franchise owners

  • Participate in training seminars as needed

  • Operate in alignment with Floor Coverings International’s core values
