What You'll Do
As a Legal & Billing Assistant, you will provide day-to-day administrative, legal, and billing support to attorneys and staff while helping ensure smooth office operations and a high level of client service. This role includes assisting with billing, maintaining accurate records, supporting front desk and administrative functions, and handling other business-related tasks as needed.
Core Responsibilities:
- Greet clients and visitors and provide professional front desk support
- Answer, screen, and route calls; manage rotating reception coverage
- Receive and distribute mail, deliveries, and other correspondence
- Perform local business errands, including bank and mail runs
- Maintain a professional reception area, break room, and shared office spaces
- Schedule conference rooms, client appointments, and other meetings
- Provide administrative and legal support to attorneys, paralegals, and staff
- Draft, format, proofread, scan, and organize legal documents and case files
- Assemble case binders, trial materials, and assist with case preparation and document production
- Communicate with clients by phone and email and assist with follow-ups
- Perform general administrative tasks, including calendaring and data entry
- Complete a minimum of 15 billable legal support hours per week
- Order and organize office and kitchen supplies
- Assist with client billing, including preparing, reviewing, editing, and finalizing invoices
- Review time entries and follow up on missing or incomplete billing information
- Support month-end billing and timely invoice completion
- Respond to billing questions and corrections while maintaining confidentiality
- Perform other duties as assigned

Required Qualifications:
- Prior experience in a law firm or legal setting preferred
- Strong written and verbal communication skills
- Excellent attention to detail, organization, and time management
- Ability to manage multiple priorities effectively
- Proficiency in Microsoft Office Suite and legal/practice management software, including Filevine
- Professional demeanor and strong client service skills
- Ability to work independently and collaboratively
- Legal billing, invoicing, or accounting experience preferred
- Familiarity with legal terminology and processes preferred
- Ability to maintain confidentiality when handling client and financial information
- Dependable and punctual
- Ability to use standard office equipment and sit or stand for extended periods
- Ability to occasionally lift up to 25 lbs.
- Must possess a valid driver's license and be able to reliably travel for business-related errands as needed

This position will be performed on-site. The typical workday is Monday-Friday, 8 AM-5 PM.
