Responsibilities:

  • Provide executive level support to Ownership, Building Management Team, and Building Staff 
  • Serve as the primary day-to-day contact for all tenants; create relationships with each contact and update contact lists as necessary; welcome new tenants to buildings
  • Maintain emergency contacts for each building and distribute building announcements as required
  • Respond courteously to tenant requests and complaints and respond accordingly
  • Provide work order system training to tenants and internal staff as needed
  • Prepare monthly bill-back report for tenant specific work orders
  • Coordinate pricing, schedules and billing of tenant special service requests and renovations 
  • Interact with vendors on invoice payment status, incorrect invoices and lien waivers
  • Work closely with Property Managers to secure bids for annual bids
  • Assist Building Engineers in maintaining facility permits, licenses and documentation 
  • Coordinate, freight elevators and after-hours activity 
  • Oversee collection and enforcement of Certificate of Insurance policies related to tenants, vendors and contractors, in order to comply with outlined insurance requirements
  • Prepare service agreements and serve as liaison with vendors on behalf of the Property Managers
  • Assist in contract management (janitorial, landscaping, pest control, etc.) and maintain building contract summary spreadsheet.
  • Prepare Incident Reports promptly for Property Manager to review
  • Perform general administrative responsibilities such as filing; auditing, coding and submitting invoices; preparing and submitting expense reports; scanning; faxing; and preparing correspondence/transmittal letters, etc.
  • Ensure that all Service Agreement, Licenses, Permits and related building information is saved in the shared files on a timely basis
  • Arrange owner and tenant meetings (i.e., order food, prepare agenda, set up meeting room and all audio-visual equipment)
  • Organize all tenant events including fire drills and life safety meetings
  • Order, stock and maintain office supplies and stationery
  • Perform additional responsibilities/tasks as requested

Qualifications: 

The ideal candidate must posses the following qualifications:

  • Bachelor’s degree or equivalent experience/education required
  • 1+ years of Property Management experience            
  • Prior real estate experience with exposure on the healthcare side preferred
  • Excellent oral and written communication skills
  • Proficiency in Microsoft based software
  • Yardi experience preferred
  • Solid organizational skills with the ability to work efficiently and independently
  • Prior employment history demonstrating the ability to work in a fast-paced, high-intensity environment while managing multiple tasks and priorities, and produce accurate results in a highly organized manner

 $23 -30 hourly range, based on experience plus benefits and bonus.
