Position Summary
The Premiere Group is seeking an experienced Property Manager to oversee day-to-day operations for a portfolio of primarily commercial properties, with some residential assets. This role owns tenant relations, lease administration, vendor coordination, and property-level financial operations. The Property Manager will also serve as the primary liaison to Premiere's third-party management company that operates its storage (rental unit) properties. Reporting to the VP of Operations and Integrations, this position is a key operational partner within the Operations team and may provide additional operational support as business needs evolve.
What You'll Do
- Portfolio Management: Manage daily operations for an assigned portfolio of commercial properties, with some residential responsibilities.
- Tenant Relations: Serve as the primary point of contact for tenants, addressing inquiries, requests, and concerns promptly and professionally.
- Lease Administration: Oversee lease renewals, amendments, move-ins, and move-outs, ensuring lease terms are properly documented and enforced.
- Vendor & Contractor Coordination: Manage vendor relationships and third-party contractors for maintenance, repairs, and capital projects, ensuring quality and cost-effectiveness.
- Property Inspections: Conduct regular site inspections to monitor property condition, safety, and compliance with company standards and applicable regulations.
- Rent Collection: Manage rent collection, delinquency follow-up, and related tenant communications.
- Accounts Payable Support: Process property invoices and coordinate with the accounting team on A/P submissions, ensuring accurate documentation and timely payment.
- Budgeting: Assist in preparing property budgets and monitor actual performance against budget, flagging variances to leadership.
- Insurance & Tax Support: Help compile documentation needed for year-end insurance renewals and tax reporting.
- Storage Portfolio Liaison: Serve as the primary point of contact between The Premiere Group and its third-party management company overseeing storage (rental unit) properties, including monitoring performance, reviewing reporting, and resolving escalated issues.
- Systems & Records: Maintain accurate, up-to-date property records, financial data, and tenant information in Buildium (or comparable property management software).
- Operational Support: Provide additional support to the Operations team as needed, including special projects and process improvement initiatives.
- Construction & Expense Tracking: Property Manager is responsible for ensuring invoices are entered into Buildium. Coordinate frequently with our Construction Manager regarding project progress and budget tracking. Track capex reimbursements and tenant chargebacks where applicable.
What You'll Bring
Experience
- Required: 3+ years of property management experience, with a strong preference for candidates with commercial property management background. Some residential property management experience is a plus.
- Preferred: Hands-on experience with Buildium property management software is strongly preferred.
- A Plus: Familiarity with Accounts Payable (A/P) processes and general accounting practices.
Skills & Attributes
- Organization: Proven ability to manage multiple properties, deadlines, and priorities simultaneously.
- Relationship Management: Comfortable serving as a liaison between internal teams and external partners, including third-party management companies and vendors.
- Detail-Oriented: Careful attention to lease terms, financial documentation, and compliance requirements.
- Communication: Strong verbal and written communication skills for tenant, vendor, and internal stakeholder interactions.
- Problem-Solving: Able to independently resolve day-to-day property and tenant issues, while knowing when to escalate.
- Technical Proficiency: Proficient in Microsoft Office Suite or Google Workspace; experience with Buildium or comparable property management software required.
Additional Requirements
- Valid driver's license and ability to travel locally between properties as needed.
- Availability to respond to occasional after-hours property or tenant emergencies.
