How you’ll contributeÂ
Performs a wide range and administrative and clerical support activities to facilitate the efficient operation of the hospital. Ability to effectively handle a wide variety of processes and tasks as delegated by the facility CEO. Must demonstrate excellent communication and customer service skills. Â This role will heavily assist with a variety of HR functions delegated by the People Services Director.
Qualifications and requirementsÂ
- Education: High School Graduate or equivalent Required
- Three years previous clerical experience
- May be required to work flexible hours and overtime. Strong skills in Microsoft Office programs.
Essential Functions:
- Record, compile, transcribe, and distribute minutes of meetings.Â
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.Â
- Prepare agendas and schedule for meetings.
- Maintain Medical Staff Credentialing files.
- Provides additional support to HRD as requested. Â
- Perform general clerical duties to include, but not limited to: photocopying, faxing, mailing, and filing.Â
- Arranges, participates in, and implements, as directed, conferences and committee meetings.Â
- Provide switchboard relief, as required.
- Maintains awareness of highly confidential and/or important documents received at the hospital.Â
- Demonstrates excellent customer service skills in assisting patients, physicians, co-workers, and visitors in a prompt and courteous manner.Â
- May serve as IT and phone service liaison as requested.
- Maintain vendor contracts per company requirements.Â
- Coordinate travel as requested.Â
- Assess, coach and develop receptionist teams’ skills; holds team to high standards (in facilities where this role supervises Receptionist team)
- Help organize and execute Employee Engagement activities for the staff under supervision of the HRD and/or CEO.
- Maintain and distribute provider and administrator call coverage schedule.
- Maintain forms inventory and monitor changes to printed materials.
- Maintain inventory and supply of facility uniforms under direction of the HRD.
- Provide additional support to other Directors as requested
