SUMMARY

The Human Resources Coordinator provides administrative and operational support for the Human Resources department while ensuring efficiency, compliance, and employee-focused HR processes. This position serves as a primary resource for employee records, HRIS administration, onboarding and offboarding, benefits administration, credentialing and licensure tracking, compliance documentation, and general HR operations.

The HR Coordinator partners closely with leadership and employees to ensure a positive employee experience while maintaining the highest level of confidentiality and professionalism.

This position reports to the VP of Human Resources & Training.

ESSENTIAL DUTIES & RESPONSIBILITIES 

  • Contributes to creating a welcoming and inclusive environment for clients, colleagues, and community partners from diverse backgrounds and experiences.
  • Provides administrative support to the Human Resources team.
  • Assists with VP of HR scheduling.
  • Maintains confidential employee personnel files and HR records.
  • Via the HRIS system, process employee status changes including new hires, promotions, transfers, compensation changes, leaves of absence, and separations.
  • Coordinate benefit enrollments, qualifying life event changes, and terminations.
  • Assist employees with benefit questions and enrollment processes.
  • In partnership with Recruiter, coordinate all pre-employment requirements (i.e. – background checks, drug screens).
  • Partner with Recruiter to coordinate new employee orientation logistics.
  • Responsible for tracking and assigning all new hire assets. Collecting assets upon employee terminations.
  • Along with HR team members, assist with new hire orientation preparation and facilitation.
  • Prepare HR correspondence letters as requested (i.e. – employment verifications, termination letters, etc.).
  • Maintain HR forms, templates, and department documentation.
  • Respond to employee questions regarding HR policies, benefits, and employment procedures.
  • Assist in developing and maintaining standard operating procedures (SOPs), forms, checklists, and department documentation.
  • Processes unemployment claims, worker’s compensation claims, and FMLA claims after VP of HR approval.
  • Maintain strict confidentiality of employee and organizational information.
  • All other duties as assigned.

HRIS ADMINISTRATION

  • Process employee data changes accurately and timely.
  • Audit HRIS records to ensure data integrity.
  • Generate various HR reports and responds to leadership regarding various reporting needs.
  • Assist with testing, implementation, and continuous improvement of HRIS processes.

CREDENTIALING AND COMPLIANCE

  • Coordinate agency credentialing and recredentialing processes for applicable clinical staff.
  • Monitor professional licenses, certifications, and credential expiration dates.
  • Maintain credentialing documentation and ensure records remain current.
  • Assist departments with obtaining required documentation for payer and regulatory credentialing.
  • Maintain compliance records required by licensing, accreditation, funding, and regulatory agencies.
  • Assist with audits by gathering requested HR documentation.

QUALIFICATIONS

Education and/or Experience: 

  • Associate degree in Human Resources, Business Administration, or related field required. Bachelor's degree preferred.
  • Minimum of three years of Human Resources experience required.
  • 1-2 years’ experience with HRIS systems.
  • Experience coordinating credentialing or licensure highly preferred.

Knowledge, Skills & Abilities:

  • Knowledge of employment laws and HR best practices.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • Ability to prioritize multiple projects and meet deadlines.
  • Strong Microsoft Office skills, particularly Excel, Word, and Outlook.
  • Ability to analyze HR data and prepare reports.
  • Demonstrated professionalism and discretion when handling confidential information.

PHYSICAL DEMANDS

• Requires prolonged sitting, bending, stooping, and occasional lifting up to 50 pounds.
 • Ability to operate standard office equipment.

WORK ENVIRONMENT

Standard office environment with occasional evenings/weekends for events. Hybrid schedule available after 90-day probationary period.
