Responsibilities:

Leadership & Team Oversight
* Direct daily activities of two mailroom associates, ensuring clear task assignments, balanced workloads, and consistent productivity.
* Provide coaching, guidance, and on‑the‑spot training to maintain high performance and professional service standards.
* Monitor attendance, punctuality, and adherence to operational procedures.
* Serve as the primary escalation point for operational issues, client concerns, and delivery exceptions.
Mailroom Operations
* Oversee the receipt, sorting, logging, and distribution of all incoming mail and packages across the client site.
* Ensure chain‑of‑custody accuracy from intake to final delivery, including digital and manual tracking.
* Maintain daily volume logs and identify trends, spikes, or operational risks.
* Ensure timely delivery to all designated recipients, departments, and secure areas.
Shipping & Receiving
* Manage inbound and outbound shipments, including medical supplies, small freight, and vendor deliveries.
* Coordinate directly with carriers, vendors, and client departments to ensure proper routing and documentation.
* Verify packing slips, purchase orders, and delivery accuracy; resolve discrepancies promptly.
* Ensure compliance with client protocols for sensitive, high‑value, or regulated medical materials.
Supply Distribution & Inventory Support
* Oversee distribution of office supplies, medical supplies, and replenishment items to designated departments.
* Maintain organization of supply areas, ensuring proper labeling, stock rotation, and cleanliness.
* Assist with inventory counts, cycle checks, and restocking processes as required by client or TMG procedures.
Customer Service & Client Communication
* Deliver professional, courteous, and proactive service to all client stakeholders.
* Provide package status updates, tracking assistance, and issue resolution with clarity and urgency.
* Communicate directly with client contacts and vendors regarding deliveries, exceptions, or special handling needs.
* Build strong relationships with department admins, facility teams, and vendor partners.
Safety, Compliance & Facility Standards
* Enforce all safety guidelines within the mailroom, dock, and supply areas.Identify, prevent, and report safety hazards or incidents to both the client and TMG leadership.
* Maintain a clean, organized, and compliant workspace, ensuring equipment is functional and areas remain clutter‑free.Ensure proper handling of medical‑related materials according to client protocols.
Operational Excellence & Continuous Improvement
* Monitor workflow efficiency and recommend process improvements to enhance speed, accuracy, and service quality.
* Ensure adherence to SOPs, client policies, and TMG operational standards.
* Support audits, reporting requirements, and documentation updates as needed.
* Lead by example in professionalism, reliability, and service consistency.
Other Duties
* Perform additional tasks as assigned to support client operations, special projects, or service expansions.

Qualifications:

Education
* High school diploma or GED required.
* Associate degree in Business Administration, Logistics, Supply Chain, or related field preferred (Desirable/not required).
* Experience2–3 years of experience in mailroom operations, shipping/receiving, logistics, or facilities services.
* Two + years of experience in a lead or supervisory role (team lead, senior associate, shift lead, or similar).
* Experience working in a regulated or compliance‑heavy environment preferred (medical, pharmaceutical, manufacturing, or government).
Technical & Operational Skills
* Strong understanding of mailroom workflows, package tracking systems, and chain‑of‑custody procedures.
* Familiarity with shipping carriers (UPS, FedEx, USPS) and small‑freight handling.
* Ability to use package‑logging software, handheld scanners, and basic inventory tools.
* Proficiency with Microsoft Office (Outlook, Excel, Word) for reporting and communication.
Leadership & Communication Skills
* Demonstrated ability to lead small teams, delegate tasks, and maintain productivity.
* Strong customer‑service orientation with the ability to communicate professionally with clients, vendors, and internal stakeholders.
* Ability to resolve issues quickly, escalate appropriately, and maintain calm under pressure.
Physical & Safety Requirements
* Ability to lift and move packages up to 50 lbs.
* Ability to stand, walk, and perform physical tasks throughout the shift.
* Knowledge of basic safety practices for dock areas, material handling, and medical‑supply environments.
Other Requirements
* Reliable attendance and punctuality.
* Ability to pass background checks required by the client (especially common in medical‑supply environments).
* Valid driver's license preferred if occasional off‑site deliveries or vendor pickups are required.
