The Administrative Assistant provides general administrative and clerical support to the Administration Department, including support for Credentialing and Compliance activities, and provides administrative assistance to the Chief Administrative Officer (CAO). The position also provides backup coverage for the corporate front office and performs a variety of administrative, data entry, document management, and clerical duties in accordance with JWCH Institute, Inc. policies and procedures.
Principal Responsibilities:Â
- Provides administrative and clerical support to the Administration Department, including Credentialing and Compliance activities, as assigned.
- Performs administrative screening and verification activities for affiliated individuals in accordance with JWCH Institute, Inc. policies and procedures and applicable requirements.
- Conducts required checks of applicable federal exclusion and debarment databases for affiliated individuals in accordance with established procedures and designated schedules.
- Performs monthly exclusion and debarment checks for affiliated individuals, as assigned, and maintains appropriate documentation of completed checks.
- Reviews database results for potential exclusion or debarment matches and promptly refers potential matches to the appropriate supervisor or designated Compliance personnel for further review and determination.
- Prepares monthly reports documenting exclusion and debarment checks completed for affiliated individuals in accordance with established procedures.
- Maintains accurate and organized records related to assigned credentialing, compliance screening, and administrative activities.
- Provides backup coverage for the corporate front office and reception area when the receptionist is unavailable, including during scheduled lunch periods and other designated coverage times.
- Greets and directs visitors, answers and routes telephone calls, and provides courteous and professional assistance to staff, visitors, vendors, and members of the public in a manner that reflects positively on JWCH Institute, Inc.
- Communicates effectively and professionally with JWCH staff, contract agencies, vendors, affiliated individuals, and members of the public.
- Performs data entry and prepares correspondence, reports, spreadsheets, forms, and other administrative documents as assigned.
- Delivers and retrieves documents and other materials from funding sources and other JWCH Institute, Inc. locations, as assigned.
- Maintains the confidentiality and security of documents and information in accordance with JWCH Institute, Inc. policies and procedures and applicable confidentiality requirements.
- Provides administrative support to the Chief Administrative Officer and other Administration Department staff, as assigned.
- Assists with scheduling, meeting preparation, document preparation, filing, and other administrative activities as assigned.
- Organizes, maintains, and retrieves administrative records and documents as needed.
- Participates in department meetings, trainings, and other organizational activities as required.
- Performs other clerical and administrative duties consistent with the position and as assigned by the supervisor.
- Complies with JWCH Institute, Inc. policies and procedures, confidentiality requirements, organizational standards, and applicable regulatory requirements.
- Â Other duties as assigned.Â
Requirements:
- Minimum of one (1) year of administrative or clerical experience in an office environment.
- Demonstrated ability to handle confidential documents and information appropriately and in accordance with organizational policies and procedures.
- Working knowledge of Microsoft Word and Microsoft Excel, with the ability to perform data entry and prepare documents accurately and efficiently.
- Valid California Driver’s License and the ability to maintain a valid license as required for the position.
- Ability and willingness to travel to multiple JWCH Institute, Inc. work sites as required.
- Ability to communicate clearly, professionally, and effectively, both verbally and in writing.
- Bilingual proficiency in English and Spanish is preferred but not required.
