Position Summary:

Under the direction of the Dispatch Manager, the Scheduling Coordinator supports operations leadership in the daily management of EMT and RN staffing. This position optimizes system-wide resource allocation by aligning staffing capacity with real-time call volume metrics and operational requirements.

The Scheduling Coordinator role comprises three levels (I, II, and III). Although distinguished by similar criteria, expectations vary based on the core needs and technical competencies of Falcon.




ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Support staffing needs across Falcon field locations by shifting resources to ensure that employees are allocated appropriately and needed units are fully staffed. 

  • Coordinate filling schedules based on company demand for 24hr/7 day a week calendar. 

  • Build and modify shift profiles within the TraumaSoft system. 

  • Create and staff long distance transports and standby events.

  • Cultivate strong relationships with field employees (EMTs and Nurses).

  • Monitor and proactively communicate the field staffing levels with field leadership and dispatch. 

  • Perform status audits for FT, PT, PD requirements. 

  • Partner with the People Team on employee work status and leave of absence. 

  • Partner with Recruiting to assess the need to maintain appropriate staffing levels at each station. 

  • Schedule FTO support for Training including, Academy, CEVO and skills days. 

  • Schedule FTO training schedules for new employees. 

  • Coordinate and schedule student ride-alongs. 

  • Partner with Payroll and Station Managers to ensure all work hours are accurate as reflected on employee timecards.

  • Demonstrate exceptional customer service with both internal and external customers.  

  • Partner in the implementation of programs, policies and procedures which support Falcon’s goal to become the employer of choice within our industry.

  • Examine and recommend enhancements to processes to ensure continuous improvement of Falcon’s support of our internal and external customers.

  • Other duties and projects as assigned.


TECHNICAL SKILLS AND KNOWLEDGE 

  • Demonstrate technical proficiency in multi-site staffing resource allocation to ensure optimal operational capacity.

  • Working knowledge of upholding company policies and procedures.

  • Excellent time management skills with a proven ability to prioritize and meet deadlines.

  • Ability to multitask and provide timely responses to staffing problems.

  • Proficient with Google Suite and ability to learn operations software. TraumaSoft experience preferred.

LEADERSHIP AND COMMUNICATIONS SKILLS

EDUCATION AND WORK EXPERIENCE

  • Demonstrated background of successful customer service experience required.

  • High school diploma or equivalent.

  • EMS experience preferred.


PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer.

  • Must be able to lift up to 15 pounds at times.
