Position Summary:

The DOT & Fleet Compliance Administrator will support the DOT and Fleet needs of MEI regional offices by working collaboratively with Corporate Operations for the oversight of fleet safety and DOT compliance. Will manage and maintain company programs for assignment, utilization, maintenance, repair, replacement, and disposal of fleet vehicles and equipment.

 

Essential Job Duties and Responsibilities:

  • Develop and maintain a fleet management platform for the inspection and maintenance of vehicles and equipment, log engine hours and preventative maintenance activities for each vehicle or powered equipment.
  • Perform DOT-related reporting, including fuel tax (IFTA); assist with permit attainment or certifications needed.
  • Educate drivers regarding electronic logging devices (ELD), vehicle dash cameras and related policies.
  • May participate in accident / incident reporting; review reports of accidents or incidents to determine cause and accountability; proactively work towards accident prevention and identify changing trends.
  • Assist the DOT Compliance and Fleet Manager with maintaining files and record-keeping for driver qualifications, including compiling prior employment history, and drug and alcohol testing history / documentation.
  • Participate in conducting annual reviews of driving records. Ensure all CDL medical cards are current for both CDL and non-CDL operators, and appropriate records are provided to outside entities (state agency DOT). Assist management and employees in renewing medical certificates, as necessary.
  • Work with talent acquisition and outside staffing agencies to confirm (and attain copies where appropriate) driver qualification documents.
  • Coordinate with DOT Manager and regional offices for random pool drug and alcohol testing participation per DOT regulations.
  • Accumulate driver fuel receipts and mileage reports. Organize data for required reporting regarding fuel taxes to IFTA or leased tractor vendors. Track and confirm fuel usage reports with on-site fueling services where applicable.
  • Function as liaison for MEI and our tractor and trailer leasing vendors to confirm appropriate billed unit information, purchase orders, insurance, and invoicing.
  • Work with regional offices and corporate accounting to accurately track capital assets. Assist in the PO requisition process; and timely organize purchasing card receipts for statement reconciliation.

 

Minimum Qualifications (Experience, Skills, and Education):

  • High School Diploma or equivalent required; higher education (associate degree) preferred.
  • Previous experience successfully overseeing multiple tasks simultaneously and working in a fast-paced environment.
  • Minimum of 3 years of transportation, logistics and working with DOT compliance regulations required.
  • Keep current with and have the ability to interpret and apply laws and regulations and disseminate information to all levels of staff.
  • Good working knowledge of Microsoft Office suite to include Word, Outlook, and Power Point; advanced Excel knowledge and accurate data entry skills.
  • Excellent organizational and time management skills; utilize time efficiently, work independently, and be detail oriented.
  • Effectively able to maintain discretion and confidentiality of employee’s information as appropriate.
  • Build positive relationships with required entities.
  • Perform regular and predictable work and perform during scheduled and/or agreed upon times.
  • Perform all other tasks as necessary and assigned.

 

Physical Requirements and Working Conditions:

Normal, climate-controlled environment. Work involves frequent use of hands and arms, and manual dexterity. Extended periods of seated work using a computer, telephone, and standard office equipment. The DOT and Fleet Compliance Administrator must be able to perform General Physical Activities – activities that require considerable use of arms and legs and moving your whole body, such as climbing, lifting, balancing, walking, stooping, and handling or moving materials weighing up to 50 pounds. Will frequently work outdoors with exposure to inclement weather and uneven terrain.
