Job Description



We are looking for a proactive, highly organized, and reliable Office Operations Intern to support the day-to-day running of our Miami office while working closely with leadership in a dynamic, fast-paced environment.

This is a hands-on, learning-oriented role for someone who wants to grow into office operations and administrative coordination. You will help keep the office functioning smoothly, support leadership with scheduling and logistics, and take ownership of recurring operational tasks such as office accounts, supplies, and vendor follow-ups. Over time, and based on performance, the role offers increasing responsibility and autonomy.

The ideal candidate is detail-oriented, dependable, and comfortable in a high-touch environment where priorities can shift quickly. This role rewards ownership, responsiveness, and a service-oriented mindset.



Core Responsibilities



Office & Facilities Support

  • Help keep office spaces organized, functional, and ready for daily use
  • Coordinate with cleaning staff, building management, and service providers
  • Support maintenance, repairs, and general facilities needs
  • Manage office supplies and basic inventory, and help maintain vendor relationships
  • Support onboarding logistics, workspace setup, and office access
  • Receive deliveries, organize supplies, and assist with light physical tasks alongside the logistics team



Office Accounts & Operational Coordination

  • Support payment and tracking of office-related bills and recurring accounts
  • Follow up with vendors and service providers on service requests, deliveries, and maintenance
  • Support invoice tracking and basic coordination related to office expenses
  • Track office equipment and help keep inventory organized


Administrative & Leadership Support

  • Support leadership with calendar coordination and scheduling when needed
  • Help coordinate meetings, manage logistics, and prepare materials and follow-ups
  • Assist with travel planning, reservations, and last-minute changes
  • Handle day-to-day coordination such as food orders, internal logistics, and small events



Requirements

  • Currently pursuing or recently completed studies in business administration, management, or a related field
  • Fluent in Spanish and English
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office, particularly Outlook (calendar management and scheduling across time zones)
  • High level of reliability, responsiveness, and attention to detail
  • Ability to work in a fast-paced environment with shifting priorities
  • Strong communication skills and comfort interacting with different stakeholders
  • Hands-on mindset and willingness to support both operational and administrative tasks
  • Familiarity with AI tools to support productivity and organization

  • Some exposure to administrative, office coordination, or similar tasks (internships, part-time, or volunteer)
