SCOPE:

A Mortgage Disclosure Specialist is responsible for preparing and delivering initial disclosures on all mortgage loan application files within three business days of the application date. Additional duties include sending Change in Circumstance disclosures, ordering third party services and assisting Processors.

 

A successful Mortgage Disclosure Specialist must be organized, highly detail oriented, and possess excellent time management skills in order to meet critical deadlines in a fast-paced work environment. Mortgage Disclosure Specialist work closely and directly communicate with lenders, third party vendors, and operational staff. As part of the overall bank team, the Mortgage Disclosure Specialist may also be requested to help with department projects as necessary.

 

ACCOUNTABILITIES:

Loan file work: (95%)

  • Review all new loan applications for accuracy, organize loan documents within the Encompass eFolder, and send initial disclosures. Determine if additional mortgage products are requested and create new files accordingly. Apply appropriate fees based on product type.
  • Enter applicable deposits and credits on the Loan Estimate.
  • Generate and review disclosure package to ensure disclosures are in compliance with regulations.
  • Order third party services as requested per loan application.
  • Prepare and provide For Sale By Owner (FSBO) package to seller(s) when applicable.
  • Process Change in Circumstance requests with appropriate fee/product changes and when necessary, coordinate with closing team within ten days of scheduled close date.
  • Upload and send appraisal reports to borrowers. Coordinate with lender on appraisal questions or issues. Send appraisal corrections to borrowers.
  • Update Encompass to process withdrawn files, files closed for incompleteness, or denied files
    • Cancel all third party services not completed to limit costs to borrower and/or Hills Bank.
    • Prepare and issue denial letters as applicable.
  • Collect and disburse mail for the Mortgage Loan Processing department.
  • Direct calls/emails to other team members to answer questions requesting information more specific and beyond ability to answer.
  • Assist Processors in ordering insurance policies, payoff statements, Limited Loan Reports, Risk Assessments, Verbal Verifications of Employment, etc.



Ongoing Education/Other Duties: (5%)

  • Must possess a general knowledge of investor guidelines and in-house lending guidelines, take initiative and be resourceful in identifying all third party services needed. Must be able to prioritize workload to meet deadlines and have ability to work independently.
  • Maintain educational and professional expertise through attendance at job related seminars, conferences and workshops.
  • Perform other duties as assigned.

 

EDUCATION AND SPECIAL REQUIREMENTS:

  • High school diploma or general education degree (GED); or related experience and/or training.
  • This job requires skills needed in a typical office environment. This includes computer skills, communications skills, as well as utilization of office equipment.
