Project Coordinator

Job description

As part of the Java Group, Victor Energy’s staff have over 50 years of experience building some of Canada’s largest electrical infrastructure projects.

As our team grows and projects are beginning to take off, we are seeking a Project Coordinator to provide collaborative support for our project execution team.

The Project Coordinator is responsible for supporting the Project Manager by interfacing with applicable team members to deliver assigned projects. This role is responsible to continuously interface and coordinate with internal team members, clients, and other project stakeholders on a variety of tasks.

This is a full-time position based on a 40-hour, 5 day work week, with flexibility to meet project demands, including occasional weekends. The position is primarily office-based but requires regular travel to construction sites to support project and construction activities. Travel will typically represent approximately 25% to 50% of the position, depending on project requirements.

Your responsibilities include:

  • Support the Project Manager with day to day project coordination and administration.
  • Track project progress, production quantities and completed units of work.
  • Collect and track labor hours, equipment hours and equipment utilization.
  • Assist with weekly project cost tracking and reporting.
  • Assist with preparation and submission of client invoices and supporting documentation.
  • Help crews complete and submit labor and equipment timesheets.
  • Coordinate material, tooling, equipment and other project requirements for construction crews.
  • Obtain supplier and subcontractor quotes and issue purchase orders as directed.
  • Assist with subcontractor agreements and track subcontractor schedules, progress and costs.
  • Maintain project documentation, schedules, reports and other project records.
  • Support the estimating team with bids, pricing and subcontractor quotes.
  • Act as a liaison between the construction crews, Project Manager and back office to keep information and work moving.
  • Bachelor’s degree in engineering, construction management or a related field.
  • 2 to 4 years of experience in a similar project coordination or construction role.
  • Utility construction experience is a strong asset, particularly experience working in a construction office or field environment.
  • Proficient in Microsoft Office, including Excel and Outlook.
  • Working knowledge of project management and scheduling software, such as Microsoft Project.
  • Ability to understand construction contracts, project documentation and commercial terms.
