The Position:
The Assistant Office Manager supports the day‑to‑day operations of the office by ensuring a safe, organized, and efficient workplace. This role works closely with the Office Manager and cross‑functional teams to coordinate facilities, vendors, visitors, and administrative processes while delivering a high level of service to employees and external partners. Fluency in Mandarin is required to support communication with internal and external stakeholders.

Essential Duties and Responsibilities:
- Support daily office operations to ensure a smooth, organized, and professional work environmentÂ
- Coordinate facilities and office services, including maintenance requests, repairs, cleaning, equipment, and office suppliesÂ
- Partner with vendors, landlords, and service providers to resolve office‑related issues and support ongoing operationsÂ
- Manage meeting logistics, including room setup, scheduling, catering, and conference room technology supportÂ
- Serve as a point of contact for employees, visitors, and external partners, ensuring a positive and professional experienceÂ
- Support visitor management processes, including access coordination and adherence to office policiesÂ
- Assist with mail and package handling, distribution, and record trackingÂ
- Maintain accurate logs, trackers, and documentation related to office operations, facilities, access, or inventoryÂ
- Support expense processing, invoices, and basic operational or administrative finance tasks, as assignedÂ
- Assist the Office Manager with special projects, audits, inspections, or operational initiativesÂ
- Ensure compliance with internal office policies, safety procedures, and workplace guidelinesÂ
- Coordinate corporate apartment operations.
- Support planning and execution of internal corporate events, meetings, and employee engagement activities.
- Oversee and maintain technology and office systems, coordinating basic troubleshooting as needed.

Minimum Requirements:
Â
- Minimum 2+ years of experience in office administration, office operations, customer service, or a similar support roleÂ
- Demonstrated experience supporting day‑to‑day office, facilities, or operations functionsÂ
- Experience coordinating vendors, service providers, or property‑related servicesÂ
- Proficiency with Microsoft 365 tools (Outlook, Teams, Excel, Word, PowerPoint)Â
- Background in event coordination or employee engagement activities is a plus.
- Exposure to expense processing, invoices, or operational finance tasks is a plus

Education or Desired License and Certificates:
- A minimum of a bachelor’s degree from accredited university or college is required
