DUTIES & RESPONSIBILITIES:


1. Client Communication & Case Management – Establish and maintain ongoing communication with clients from intake to settlement, providing case updates, answering questions, and ensuring a positive client experience.

2. Case Investigation & Intake Analysis – Conduct thorough case evaluations by gathering intake details, police reports, accident photos, witness statements, and relevant documents to build a strong case foundation.

3. Database Management & Documentation – Accurately input and update case details in the firm’s case management system, ensuring all client, insurance, and medical records are properly recorded and easily accessible.

4. Insurance Verification & Correspondence – Confirm insurance coverage, policy limits, and liability issues while maintaining consistent contact with adjusters, defense counsel, and third-party carriers.

5. Medical Treatment Coordination – Oversee clients’ medical care and treatment plans, ensuring they attend necessary medical appointments, therapy sessions, and specialist consultations. Schedule, calendar, and follow up with medical providers while guiding clients through the treatment process.

6. Monitor Case Progress & Review Medical Records – Track treatment progress, medical updates, and case developments, reviewing medical records and bills to assess treatment completion and case readiness for demand.

7. Organize & Maintain Case Files – Ensure all medical records, accident reports, insurance communications, and legal documents are properly stored, updated, and ready for demand submission or litigation.

8. Prepare Cases for Demand & Settlement – Collaborate with demand writers, attorneys, and lien negotiators to ensure cases are fully developed before submission, including summarizing medical records, calculating damages, and verifying outstanding liens.

9. Assist with Negotiations & Settlements – Work alongside attorneys to gather additional documentation, communicate settlement updates to clients, and prepare final settlement documents for resolution.

10. Dispute Resolution & Problem-Solving – Address insurance disputes, medical treatment issues, and client concerns, working proactively to resolve potential case delays and ensure a smooth claims process.

11. Coordinate with Litigation Team – When cases transition to litigation, ensure all medical records, case summaries, and client statements are accurate and organized for trial preparation.

12. Handle High-Volume Caseload Efficiently – Manage multiple cases simultaneously in a fast-paced environment, ensuring deadlines are met, follow-ups are completed, and no detail is overlooked.

13. Stay Informed on Personal Injury Laws & Procedures – Keep up to date with industry best practices, legal requirements, and evolving case strategies to improve overall case handling and client success.


QUALIFICATIONS:

Qualified candidates will have 5 years of experience managing a heavy caseload in the Personal Injury field. Candidate must have experience managing a file from intake to demands and be able to work in a fast-paced environment. Must be detail orientated, organized with excellent follow-through in order to meet multiple deadlines. The candidate must have excellent communication and people skills as this role requires heavy client contact. Knowledge of medical terminology and insurance terminology. Understanding the injury claims process. Bilingual in Spanish is required.


EDUCATION and EXPERIENCE:

High school diploma or equivalent required, with some coursework. Associate degree preferred. One year of related experience is required.
