Job Description:

The Executive Assistant provides high-level administrative support to the Mine General Manager and Senior Leadership Team. Responsibilities include managing calendars, coordinating travel, preparing reports and presentations, organizing meetings and events, and handling expense reporting and office administration. This role also serves as a liaison between the site, corporate office, and external partners while maintaining confidentiality and ensuring smooth daily operations.

Day to Day:

  • Arrange all phases of travel for the GM and Senior leadership team and maintain records, itineraries, and travel credits

  • Prepare a variety of correspondence, reports, spreadsheets, presentation books, reports, meeting prep packets and other documents ensuring proper format, grammar, spelling, and punctuation

  • Manage and maintain GM’s calendar as requested; schedule and arrange internal and external meetings, appointments, and special events. Arrange for meeting rooms, food/beverages, lunch reservations, etc., as necessary.

  • Assist with meeting preparation, including agendas, minutes, and follow-ups.

  • Responsible for all-expense report-related activities, such as receipt collection and follow-up, preparation and submission of expense reports, and corporate credit card billing reconciliation

  • Coordinate and manage local events as needed

  • Attend meetings as requested, prepare agendas, take minutes, and distribute meeting materials as required

  • Protect the confidentiality of information learned by performing position duties

  • Attend staff meetings, department meetings, education workshops, and social functions as requested

  • Support and act as a proxy on behalf of the GM on key action log executables.

  • Organize and maintain files, records, and contact databases.

  • Liaise with internal teams and external stakeholders on behalf of GM.

  • Track deadlines, deliverables, and key initiatives.

  • Support office administration, like ordering supplies, handling mail and managing conference logistics coordinate etc.

  • Liaison between corporate office when it comes to intakes of visitor requests, initiatives, and delivery of presentation materials

  • Perform other work-related duties as assigned

Is This You?

  • Strong data set manipulation capacity - able to comb through data, generating initial analysis reports using PowerBI, pivot tables, and Excel.

  • At least three years of experience in executive-level support or office management. 

  • Proficiency with expense reporting, scheduling platforms, and office management systems (e.g., Concur, SAP) is a plus.

  • Agility- ability to flex where needed

  • Keen attention to detail, being organized and able to seamlessly multitask

  • Proven written and verbal communication skills

  • Comfortable interacting with colleagues at all levels

  • Adaptable with a can-do attitude

  • Adaptable to changing priorities and anticipating tasks

Work Conditions & Location:

  • Role is based at the Cripple Creek & Victor Mine, located in Teller County, Colorado.

  • The Cripple Creek & Victor (CC&V) Mine site is located at elevations ranging from approximately 9,400 ft. to 10,600 ft. above sea level. Workers in this position are routinely exposed to conditions at various work sites throughout this range of elevations and must be physically capable of working at this altitude.

  • Weather conditions can and do change frequently and can become severe at times.
