Position Summary

The Office Assistant provides daily administrative and clerical support to The Maples facility. This role helps maintain an organized, welcoming, and professional office while supporting facility leadership, employees, patients, and families.

Key Responsibilities

  • Greet visitors, patients, families, and vendors in a friendly and professional manner.
  • Answer and direct telephone calls and respond to general inquiries.
  • Assist with filing, scanning, copying, data entry, and document organization.
  • Maintain office supplies and notify leadership when items need to be ordered.
  • Support scheduling, meetings, correspondence, and other administrative needs.
  • Receive and distribute mail, deliveries, and facility communications.
  • Maintain confidentiality of patient, employee, and organizational information.
  • Help ensure the reception and office areas remain organized and professional.
  • Provide additional clerical support to facility leadership and staff as needed.

Qualifications

  • High school diploma or equivalent required.
  • Previous office, receptionist, administrative, or customer service experience preferred.
  • Comfortable using email, Microsoft Office, and basic office equipment.
  • Strong organizational skills and attention to detail.
  • Professional communication and customer service skills.
  • Ability to work effectively in a behavioral health environment serving adolescents and families.
  • Dependable and able to maintain a consistent Monday–Friday schedule.

Work Schedule

This position works Monday through Friday from 8:30 a.m. to 3:30 p.m.
