Administrative Assistant — MRC (Maintenance / Service Support)
Mechanic Refrigeration Company (MRC) is seeking an Administrative Assistant to support our maintenance and service operations. This role is a key link between the office, field technicians, and customers—helping keep billing, scheduling, and job documentation accurate and on track. The ideal candidate is organized, detail-oriented, communicates well, and is comfortable working in a fast-paced, blue-collar service environment.
Key Responsibilities
- Manage and process maintenance billing, ensuring accurate invoicing and timely documentation
- Communicate with field technicians and customers to coordinate maintenance schedules, updates, and job completion
- Use QuickBooks to create purchase orders (POs), generate job numbers, and track related job documentation
- Answer and direct incoming phone calls, assist customers, and route inquiries to the correct team member
- Maintain organized records for preventive maintenance (PM), invoices, and purchase orders
- Support ongoing communication between the office, technicians, and customers to ensure smooth service operations
Requirements
Qualifications
- Strong organization, time management, and attention to detail
- Professional, clear communication skills (phone, email, and internal coordination)
- Comfortable multitasking and working with deadlines
- Proficiency with basic office software
- Previous admin/support experience in service, construction, HVAC-R, or a similar trade environment is a plus
