OEI (O'Brien Engineering & Architecture) is seeking a full-time Project Coordinator. This position plays a key role in ensuring projects are executed efficiently by coordinating documentation, tracking schedules, communicating with clients and internal teams, and assisting project managers with day-to-day administrative and project coordination tasks.

The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment while maintaining a high level of accuracy and professionalism.

Job Location: On site in Dallas, TX office

Project Coordinator Responsibilities:

  • Provide administrative and project support to multiple Project Managers.
  • Assist with project setup, organization, and maintenance of project files.
  • Prepare, review, and distribute project documents, reports, and correspondence.
  • Track project schedules, deadlines, deliverables, and milestones.
  • Coordinate meetings, prepare agendas, and document meeting minutes.
  • Communicate with clients, contractors, vendors, and internal team members regarding project status and documentation.
  • Process contracts, proposals, and change orders as needed.
  • Maintain accurate project records and ensure documentation is current and complete.
  • Support project closeout by organizing final documentation and deliverables.
  • Perform general office and administrative duties to support the engineering team.

Project Coordinator Qualifications:

  • Associate's or Bachelor's degree preferred, or equivalent work experience.
  • Previous experience in project coordination, administrative support, construction, engineering, or a related field is preferred.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple projects and meet deadlines.
  • High attention to detail and accuracy.
  • Strong problem-solving skills and ability to work independently.
  • Professional and customer-focused attitude.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
