Minimum Qualifications:

  • High school diploma or equivalent; associate’s degree, paralegal certificate, or equivalent experience preferred.
  • Two or more years of legal support experience, ideally spanning more than one practice area.
  • Ability to adapt quickly to different attorneys, workflows, and subject matter with minimal supervision.
  • Proficiency with electronic court filing and legal document management systems.
  • Strong proficiency with Microsoft Office (Word, Outlook, Excel).
  • Excellent organizational skills and attention to detail, with the ability to manage shifting priorities and competing deadlines.
  • Strong written and verbal communication skills.

Preferred Qualifications:

  • Step in to cover for legal assistants who are absent, on leave, or overloaded, maintaining continuity of service with minimal ramp-up time.
  • Quickly learn practice-specific procedures, terminology, filing requirements, and attorney preferences.

Document Preparation and Management

  • Draft, format, proofread, and revise correspondence, pleadings, agreements, and other legal documents for attorney review.
  • Prepare, assemble, and file documents with courts and agencies, including electronic filings (CM/ECF and state e-filing systems) where applicable.
  • Organize and maintain physical and electronic case and matter files.

Calendar and Deadline Management

  • Track and calendar deadlines, hearings, closings, filing dates, and appointments across multiple matters and practice areas.
  • Coordinate meetings, depositions, signings, and attorney schedules.
  • Provide timely reminders of upcoming deadlines and deliverables.

Client and Third-Party Communication

  • Serve as a professional point of contact for clients, courts, opposing counsel, and third parties across matters.
  • Gather documentation and information needed to advance matters, respecting the requirements of each practice area.

Administrative and Project Support

  • Enter time, open and close matters, and assist with billing and expense coordination.
  • Support special projects, document productions, and firm-wide initiatives as assigned.
  • Perform general administrative duties, including scheduling, correspondence, data entry, and file maintenance.

Competencies:

  • Adaptability — moves fluidly between practice areas, attorneys, and systems with minimal onboarding.
