About the role:
Coordinate with Pool Builders and Project Managers to manage and schedule prep & plaster crews & necessary materials. This role is crucial for ensuring smooth operations, timely job completion, and excellent communication between customers, crews, and management.Â
What you'll do:
- Coordinate daily logistics for multiple locations.
- Create, manage, and update the daily and weekly schedule for production crews.
- Optimize Project Manager daily schedules, to maximize number of site visits and minimize drive times.
- Coordinate with project managers, superintendents, and pool builders to confirm job readiness and schedule dates.
- Optimize crew routes and job assignments to maximize efficiency and minimize downtime.
- Communicate schedule changes promptly to all relevant parties (crews, builders, and internal staff).
- Track job progress and ensure timely completion within project deadlines.
- Review upcoming jobs to ensure all processes, materials, and equipment are ready before scheduled dates.
- Maintain detailed and accurate scheduling records in company software or spreadsheets.
- Monitor weather conditions and adjust schedules as needed to reduce delays.
- Support customer service by providing schedule updates and responding to inquiries.
- Collaborate with accounting and operations teams to verify job completion and readiness for invoicing.
What we are looking for:Â Â Â
- Ability to work from Dallas Corporate office, Monday-Friday.
- 2+ years of scheduling, dispatching, or coordination experience (construction, pool industry, or trades preferred).
- Proficient with scheduling software, CRM systems, and Google Workspace.
- Excellent verbal and written communication skills.
- Strong ability to multitask, prioritize, and adjust to changing demands.
- Familiarity with pool construction or plastering processes is a plus.
- Works well under pressure in a team-oriented environment.
- Experience in pool construction, plastering, or a related trade scheduling role.
- Ability to anticipate scheduling conflicts and proactively solve problems.
- Strong customer service mindset and professional demeanor.
- Bilingual (English/Spanish) is a plus.
Physical Requirements/Work Environment:Â
- Office work environment with occasional field or site visits.
- Frequent use of computers, phones, and other standard office equipment.
- Occasional lifting of office supplies or project materials (up to 20 lbs).
