About the Role:

We are seeking a highly organized and service-minded Showroom Administrator to support the day-to-day operations of our showroom and serve as the first impression for every guest who walks through our doors.

This role combines a strong hospitality presence with administrative organization. You will be responsible for greeting and guiding guests, managing the showroom calendar, and keeping daily operations running smoothly from the front desk.

This is a front-desk-based role that requires consistent presence and attention. You will act as the central point of coordination for all activities happening within the showroom, with opportunity for growth as the showroom and team expand. 

Key Responsibilities:

Front Desk & First Impression

  • Greet every guest promptly and professionally
  • Assess guest needs and direct them to the appropriate team member

Guest Flow & Coordination

  • Ensure no guest is left waiting or unsure of next steps
  • Communicate with the internal team to coordinate handoffs
  • Manage the flow of guests throughout the showroom while maintaining a smooth, organized front of house experience

Appointment & Calendar Management

  • Own and maintain the showroom calendar
  • Ensure proper spacing and organization of the schedule
  • Assist with rescheduling and follow-ups as needed
  • Lead the daily standup meeting to review appointments and align on the showroom day

Building & Facilities Operations Support

  • Support the day-to-day operations of the showroom from the front desk
  • Identify, report, and help coordinate the resolution of any maintenance or facility-related issues
  • Serve as a point of contact for property management, vendors, and service providers as needed
  • Receive and manage deliveries, ensuring items are accounted for and directed appropriately

Systems & Organization

  • Maintain accurate records in CRM and internal systems
  • Track appointments, guest interactions, and follow-ups
  • Keep information organized, up to date, and accessible

Lead Capture & Partner Awareness

  • Capture and document all guest interactions within the showroom
  • Maintain organized and up-to-date records in HubSpot & Google Forms
  • Gather basic information to understand guest needs and interests
  • Support Showroom Associates with internal follow-up by ensuring notes are clear and helpful when needed
  • Be aware of key strategic partners and their offerings within the showroom
  • Track and report showroom activity and partner engagement, capturing client interest and referrals to share back with key partners

  • The showroom runs smoothly and stays organized day to day
  • The calendar is accurate, structured, and reliable
  • Guests are guided efficiently to the right team members

Qualifications:

  • 2–5 years of experience in hospitality, front desk, retail, or administrative roles
  • Experience managing schedules, reservations, or guest flow
  • Strong organizational and multitasking skills
  • Comfortable using multiple systems or quick to learn new tools
  • Professional, confident, and service-oriented
