POSITION:   Office Assistant       



DWS ENERGY Founded in 2014, DWS Energy is a rapidly expanding, multi-disciplinary electrical construction company focused on commercial and utility-scale solar and battery storage (new construction and operations & maintenance), building controls wiring, and electrical pre-fabrication solutions in our UL-508A certified panel shop. The organization has expanded its service offerings throughout its tenure and continues to grow at an accelerated rate.



OVERVIEW:  The Office Assistant – role will oversee daily office administrative operations while supporting Human Resources functions. This role is ideal for someone who thrives in a dynamic environment and enjoys wearing multiple hats. The position will be responsible for ensuring smooth office operations, assisting with data entry and audits, and coordinating HR-related documentation and compliance.



DUTIES:  The duties and responsibilities may include but are not limited to:



Office Support:

  • Maintain a clean, organized, and efficient office environment.
  • Perform general office administrative tasks, including ordering office supplies and company merchandise, coordinating maintenance services, and managing incoming mail.
  • Maintain vehicle compliance by coordinating inspection reminders, processing registration renewals, and organizing service documentation for accurate record-keeping.
  • Coordinate and manage all employee travel logistics, including booking flights, accommodations, ground transportation, and ensuring compliance with company travel policies and budget constraints.
  • Manage ordering of approved branded swag, including shirts, hats, and promotional apparel.
  • Other duties as assigned.



HR Support:

  • Maintain employee records and ensure data accuracy in HR systems.
  • Assist with onboarding and offboarding processes.
  • Support the planning and execution of company events and employee engagement initiatives, including coordinating logistics, communicating with vendors, and fostering a positive workplace culture through creative and inclusive activities.
  • Help schedule and track training, and HR-related meetings
  • Assist in coordinating employee documentation for audits and compliance checks.

 

QUALIFICATIONS:  The following are required skills and qualifications:

  • Proven experience as Administrative Assistant, or similar role.
  • Familiarity with basic HR practices and principals
  • Proficiency in Microsoft Office Suite (especially Excel), HR software (e.g., Computer Ease, ADP, BambooHR).
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and confidentiality

 

REQUIREMENTS:  The following are physical requirements:                             

  • Ability to sit or stand for extended periods of time.
  • Must be able to lift up to 25 pounds occasionally (e.g., office supplies, files).
  • Frequent use of hands and fingers for typing and data entry.
  • Occasional bending, reaching, and walking within the office environment.
  • Ability to use standard office equipment such as computers, printers, and copiers.
