Job Description:

Duties/Responsibilities

  • Coordinates the design, build, modification, and maintenance of provider scheduling templates in Epic system

  • Ensures scheduling templates comply with organizational standards, provider contracts, clinic workflows, and Epic system best practices

  • Manages template changes related to provider onboarding, departures, schedule adjustments, leave coverage, and clinical programs/initiatives

  • Monitors template accuracy and proactively identifies gaps affecting access, utilization, or patient flow

  • May assist with design, maintenance, and optimization of scheduling decision trees in Epic system

  • Maintains, monitors, and adjusts space-allocation assignments for clinics in room scheduling system

  • Provides administrative and department support to designated leader(s), including calendar management and prioritization of competing schedule demands

  • May prepare meeting agendas, presentations, and support materials for designated leader(s)

  • May support special projects, initiatives, and ad hoc requests as assigned by leadership

  • May assist with maintenance and approval of payroll and PTO as assigned by leadership

  • Abides by organizational and HIPAA guidelines and privacy practices

  • Supports and promotes hospital and departmental performance improvement goals

  • Ensures quality care through compliance with departmental and organizational policies and guidelines, and external agency guidelines, standards, or regulations

  • Supports departmental initiatives and change efforts

  • Practices financial and resource stewardship

  • Engages in strong communication, acts as team player in supporting mission and vision of organization, and abides by organization’s core values

  • Maintains confidentiality and exercises discretion when handling sensitive information

  • Additional duties as assigned

Required Skills/Abilities

  • High school diploma or equivalent required

  • Bachelor’s degree preferred

  • Minimum 2-years’ experience in medical office or healthcare setting required

  • Experience with Microsoft Office required

  • Management of provider templates in Epic preferred

  • Experience with scheduling decision trees in Epic preferred

  • Strong written and verbal communication skills required

  • Strong organizational and interpersonal skills required
