About the Role

As our Front Desk Coordinator, you are the heartbeat of the practice — the first smile patients see and the one who helps keep everything running smoothly behind the scenes. You deliver an exceptional guest experience while supporting scheduling, check-in/check-out, and key practice goals.

 

What You’ll Own

·       Be the first point of contact for patients — in person and over the phone — delivering an exceptional, welcoming experience

·       Manage check-in and check-out workflows, including patient scheduling, payment processing, quotes, and financing navigation

·       Help drive key practice goals through rebooking, maximizing schedule efficiency, and encouraging patient reviews

·       Collaborate closely with providers, medical assistants, and team members to ensure the day runs smoothly

·       Actively address patient questions, concerns, and feedback with care and professionalism, escalating as needed

·       Maintain accuracy and consistency when navigating software systems throughout the patient journey

·       Participate in team meetings, trainings, and regular touch bases with your Practice Manager

·       Uphold OSHA and HIPAA compliance and contribute to a safe, clean practice environment

What You’ll Bring

·       Prior experience in a customer-facing or hospitality role preferred (aesthetic or medical environment a plus!)

·       Excellent communication and interpersonal skills — you build connection quickly and naturally

·       Strong organizational skills and ability to multitask in a fast-paced setting

·       Comfort working with computer systems and learning new software platforms

·       Ability to stay calm, positive, and solutions-oriented when needs shift or days get busy

Compensation

·       Base Salary: $21.00-$28.00 per hour

·       Your bonus is earned through what matters most here — exceptional patient experience and strong teamwork. Performance is measured through results like rebooking rates, patient feedback, responsiveness, and team revenue goals. We review targets together and provide full transparency once you're in the hiring process.

 

Physical Requirements:

·       Must be able to lift up to 15 pounds at a time.

·       Prolonged periods of sitting at a desk and working on a computer.

·       Prolonged periods of standing for up to 8 hours at a time.
