A.I.S., Inc. (AIS) is a national scientific services firm supporting maritime activities requiring certification of compliance with environmental regulations as well as collecting data for use by Federal, State, Municipal, and other government agencies along the US coastline. AIS is looking for a Billing Coordinator to support the daily administrative and operational activities of our Finance Department.


Primary Function:

This position provides a wide variety of clerical, administrative, and financial support functions that help ensure efficient day-to-day business operations. The ideal candidate is highly organized, enjoys working with numbers, communicates professionally, and can manage multiple priorities while maintaining accuracy and confidentiality.

 

This is an excellent opportunity for an individual looking to grow within an administrative or finance support role. Previous accounting experience is helpful but not required.


Duties/Responsibilities:

  • Assist with processing and tracking incoming customer payments and account activity.
  • Reconcile employee expense reports and supporting documentation for accuracy and policy compliance.
  • Process miscellaneous invoices and payments for vendors, utilities, subscriptions, and other business expenses.
  • Maintain organized electronic and paper financial records.
  • Answer and direct incoming telephone calls professionally.
  • Monitor shared departmental email inboxes and route requests appropriately.
  • Prepare deposits, correspondence, and routine financial documentation.
  • Assist with data entry and maintaining accounting records within company systems.
  • Support month-end administrative activities and document reconciliation.
  • Coordinate with internal departments regarding billing questions and payment status.
  • Assist with preparing reports, spreadsheets, and other administrative documents.
  • Order office supplies and assist with other departmental administrative needs.
  • Perform general office duties including filing, scanning, copying, and document management.
  • Provide backup administrative support to other members of the Finance Department as needed.
  • Perform other duties as assigned.


Compensation: Candidates will be paid an hourly rate to be negotiated, and total compensation will vary depending on candidates’ depth of experience. This is a full–time position. AIS benefits package includes health and dental insurance, vacation, sick and holiday benefits.

 

Minimum Qualifications:

  • High school diploma or equivalent required.
  • Experience working with Microsoft Office, particularly Excel and Outlook.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks while meeting deadlines.
  • Ability to maintain confidentiality with financial and employee information.
  • Ability to learn new software and internal business systems.


Preferred Qualifications:

  • One to three years of administrative, office support, customer service, or finance support experience preferred.
  • Experience reconciling reports, receipts, invoices, or financial documentation.
  • Familiarity with accounting or ERP software.
  • Experience supporting multiple internal stakeholders.
