MAINTENANCE ADMINISTRATOR

 
POSITION SUMMARY
The Maintenance Clerk provides essential administrative support to the maintenance department, ensuring efficient operations and accurate record-keeping. 


ESSENTIAL DUTIES & RESPONSIBILITIES

  • Ensure availability of parts in a cost-effective and timely manner. 
  • Maintain detailed record of fleet inventory, preventative maintenance schedules, and corrective repairs performed on all units. 
  • Enter fleet information into the computerized fleet management system daily. 
  • Serve as a liaison with vendors for ordering, receiving, and processing payments for goods and services. 
  • Prepare truck purchase orders for management approval. 
  • Receive, tag, stock, and distribute parts to mechanics in accordance with company policies and procedures. 
  • Coordinate with accounting to review purchase orders and verify accuracy for invoice payment. 
  • Generate and distribute productivity and usage reports for management review. 
  • Follow all company safety policies and procedures and contribute to achieving safety goals. 
  • Reconcile Dossier financial data with the Lawson general ledger. 
  • Support the Fleet Manager by analyzing fleet operations data, identifying trends and anomalies, correcting errors, and escalating issues as needed. 
  • Assist with organizing and maintaining parts inventory. 
  • Performs other job-related duties as assigned. 

MINIMUM QUALIFICATIONS

  • Related experience in maintenance / trucking industry / USDOT fleet registration requirements. 
  • At least 1 year of general office experience or equivalent training. 
  • Intermediate skills in Office 365 including Excel and Outlook. 
  • Demonstrate ability to work in a fast-paced environment where responsibilities frequently change. 
  • Must possess excellent organization skills. 
  • Must demonstrate excellent attention to detail. 
  • Outstanding verbal and written communication skills. 
  • Ability to function as a team and get along with others. 

PHYSICAL REQUIREMENTS

  • Prolonged periods of standing and walking. 
  • Ability to climb, bend, or crawl into awkward spaces. 
  • Regularly lift and / or move up to 50 pounds, frequently lift and / or move up to 50 pounds, and occasionally lift and / or move 50-100 pounds. 
  • Exposure to physical occupational risks (such as cuts, burns, exposure to toxic chemicals, etc.). 
  • Exposure to physical environment which involves moving mechanical parts, fumes, dirt, odors, noise, weather extremes or similar elements. 

EDUCATION

  • High School Diploma or G.E.D.

LICENSE AND CERTIFICATIONS

  • 1 year of general office experience or equivalent training. 
  • Knowledge of auto parts, inventory control. 
  • Clean driving record, valid Texas Driver's License to run for parts if necessary.
