Medical Records Clerk

Full‑time • $20.16/hr – Bi‑weekly pay – Full benefits package
Location • Dayton, Ohio

Schedule • Monday–Friday, 8:00 a.m. – 5:00 p.m.

About the Role

We are seeking a detail‑oriented and highly organized Medical Records Clerk to support the delivery of medical, dental, and mental health services for students. This role is ideal for professionals who understand medical office operations, documentation requirements, confidentiality standards, and youth‑centered service environments.

This position is well‑suited for individuals with experience in:

• Medical office administration or health records
• Front‑office operations in healthcare settings
• Clerical work involving confidential information
• Youth‑serving environments or student support
• Data entry, records management, and medical software systems

You will work closely with the Health & Wellness Manager, clinical staff, and other center departments to ensure accurate medical documentation, smooth daily operations, and timely student support.

This is an on‑site, student‑facing role requiring professionalism, strong communication, discretion, consistency, and excellent organizational skills.

Your work directly influences the accuracy of student health records, operational efficiency, and the overall student experience within the Health & Wellness department.

What You’ll Do

Medical Records, Documentation & Confidentiality

• Prepare individual student medical folders and maintain strict confidentiality.
• Maintain, update, and organize student medical, dental, and mental health records.
• Prepare medical appointment slips in the Center Information System (CIS).
• Respond to staff and student inquiries regarding medical records and documentation.
• Assist with processing medical leaves in CIS.

Clerical, Administrative & Office Support

• Draft correspondence, form letters, schedules, reports, and other communications.
• Proofread, copy, file, and format documents.
• Manage incoming and outgoing mail for the Health & Wellness department.
• Answer telephones, greet visitors, and manage front‑office inquiries.
• Assist with maintaining medical equipment, supplies, and inventory.
• Prepare all incoming medical bills for review and submission to Finance.

Compliance, Safety & Center Support

• Model and promote the center’s positive normative culture.
• Report ethical violations, safety concerns, or environmental health risks.
• Identify opportunities to improve processes and reduce operational waste.
• Serve as a responsible custodian of center property and equipment.
• Maintain a score of 75% or higher on the employee scorecard.

Minimum Qualifications

• High school diploma or equivalent required.
• One year of experience in a medical office or healthcare environment.
• One year of experience working with young adults or adolescents.
• Knowledge of medical software systems and basic networking.
• Strong written and verbal communication skills.
• Ability to model Career Success Standards (CSS) and mentor students when needed.
• Strong organizational skills and attention to detail.
• Proficient computer skills and the ability to type at least 50 words per minute.
• Valid driver's license and acceptable driving record (if driving is required).
• Eligibility to work in the U.S. (I‑9 verification required).
• Ability to pass a pre‑employment background check and drug test.
