Position Summary
General Summary/Responsibilities:
This position provides high-level administrative support to the Trauma Surgery Division and its faculty. The role involves managing complex calendars, coordinating academic and clinical schedules, organizing meetings and educational programs, and serving as a liaison between internal departments and external partners. The individual in this role ensures smooth daily operations, accurate communication, and efficient coordination across multiple priorities.
Essential Duties & Functions:
路聽聽聽聽聽聽 Provide administrative support to 12 Trauma Surgeons, including managing and coordinating Outlook and practice office calendars.
路聽聽聽聽聽聽 Arrange and coordinate travel for academic and professional events; prepare and submit related reimbursements and documentation for grants or foundation-funded travel.
路聽聽聽聽聽聽 Coordinate and schedule multiple meetings, including monthly Trauma Division and Faculty meetings.
路聽聽聽聽聽聽 Prepare and distribute agendas, record and maintain meeting minutes, and ensure follow-up on action items.
路聽聽聽聽聽聽 Prepare general correspondence, reports, and spreadsheets; distribute to appropriate parties.
路聽聽聽聽聽聽 Handle incoming calls, route inquiries, process mail, maintain filing systems, and assist with special projects.
路聽聽聽聽聽聽 Administer and coordinate monthly trauma call schedules for faculty and rotating Air Force physicians at Miami Valley Hospital and Miami Valley Hospital South.
路聽聽聽聽聽聽 Track call shifts to ensure all surgeons meet contract minimums.
路聽聽聽聽聽聽 Serve as liaison with county prosecutors for criminal subpoenas issued to Trauma Surgeons; obtain case details and schedule pretrial conferences as needed.
路聽聽聽聽聽聽 Coordinate all aspects of ASSET and FCCS GME courses, including planning logistics, recruiting attendees and instructors, and ensuring GME credit and certification processes are completed.
路聽聽聽聽聽聽 Assist the Trauma Program Manager with preparation for trauma center verification with the American College of Surgeons.
路聽聽聽聽聽聽 Other Duties & Functions:
路聽聽聽聽聽聽 Assist the Trauma Program Manager with Trauma center verification with the American College of Surgeons as needed. And other tasks as assigned.
