The Role We are seeking an organized, customer-focused, and proactive Administrative Analyst to support our operations and dealer networks. Reporting to the Customer Service Manager, you will serve as a vital point of contact for dealers resolving inquiries, managing billing and shipment issues, creating RMAs, and collaborating with cross-functional teams like ESG management and Information Systems. This is a high-impact role where your problem-solving skills and attention to detail will directly ensure operational excellence and high dealer satisfaction.

Essential Functions

  • Dealer Support: Respond promptly and professionally to dealer inquiries and concerns received via email and phone.
  • Billing Resolution: Investigate and resolve billing issues, collaborating with other Ford activities and entities to ensure accuracy.
  • Logistics & Shipment Tracking: Interface with freight carriers regarding the status of domestic and international shipments; create and distribute missing shipment reports to service centers.
  • System & Program Support: Create Return Merchandise Authorizations (RMAs) for dealers, process core waivers for emerging market dealers, and resolve OWS (Online Warranty System) errors.
  • Cross-Functional Collaboration: Work closely with ESG management, Information Systems, and other Ford entities on operational issues and new initiatives.
  • Process Improvement: Proactively identify opportunities to streamline workflows and improve operational processes.

Qualifications We are looking for an organized support professional with a strong customer service orientation and problem-solving mindset. To be successful, you will typically possess:

  • A high school diploma or general education degree (GED); or
  • One (1) to three (3) months of related experience and/or training in administrative support, customer service, logistics, or operations; or
  • An equivalent combination of education and experience that demonstrates your capability to support an operational organization.
  • Strong communication and interpersonal skills, with the ability to handle dealer inquiries via phone and email effectively.
  • Basic analytical and troubleshooting skills (experience with shipping/logistics, billing resolution, or OWS systems is a plus).
