Position Summary:

The Payroll Specialist supports the daily operations of the Payroll function and collaborates with Human Resources, Finance, and Operational teams to ensure accurate and timely compensation for all employees. Each member of the Payroll Team is a valuable contact for employees regarding payroll-related inquiries, providing guidance on pay practices, deductions, and compliance requirements. The Payroll Specialist is responsible for ensuring compliance with federal, state, local, and union regulations, and accurately processing payroll transactions including wages, overtime, taxes, and union deductions.

 

Key Responsibilities:

  • Process payroll transactions for the weekly and semi-monthly payrolls for hourly and salary employees, including union and non-union staff
  • Interpret and apply collective bargaining agreements (CBAs), including wage scales, shift differentials, overtime rules, and fringe benefits
  • Manage payment of union deductions such as dues, benefits, and garnishments
  • Reconcile payroll discrepancies and resolve employee inquiries in a timely manner
  • Coordinate with HR, Benefits, and Accounting teams to ensure accurate employee data and payroll reporting
  • Maintain accurate payroll records and ensure compliance with federal, state, and local regulations
  • Support audits by providing payroll data and documentation as needed
  • Generate payroll reports for management and internal departments
  • Stay current on payroll laws, tax updates, and union contract changes
Qualifications

Required Qualifications:

  • 3–5 years of payroll processing experience, with hands-on union payroll experience required
  • Strong understanding of payroll laws (FLSA, multi-state payroll regulations, wage and hour laws)
  • Skilled hands on experience supporting teams and operations in the Industrial Services sector preferred
  • Experience interpreting union contracts and applying payroll rules accurately
  • Proficiency with payroll systems, ADP Workforce Now preferred
  • Advanced skills in Microsoft Excel (pivot tables, VLOOKUPs preferred)
  • High level of accuracy, attention to detail, and confidentiality
  • Excellent problem-solving and organizational skills
  • Strong communication skills and ability to interact with employees at all levels

 

Physical Requirements to be performed with or without reasonable accommodation:

  • Must be capable of seeing close vision, distance vision and ability to adjust focus.
  • Must be willing and capable of sitting, standing, walking, stooping, bending, or reaching above the shoulders. 
  • Must be willing and physically capable of lifting objects weighing up to 25 pounds occasionally.
  • Must be willing and capable in performing computer-based tasks while sitting or standing at a computer-based workstation for prolonged periods of time.
