We are currently seeking an Assistant Project Manager. The Assistant Project Manager is an entry-level role designed to provide administrative and operational support to the project management team, with a focus on learning and developing into a fully independent project manager. This position is responsible for managing administrative tasks, coordinating project documentation, assisting with scheduling, and supporting communication between internal teams, subcontractors, and clients. Over time, the Assistant Project Manager will gain the skills and experience necessary to independently oversee and manage projects, with a primary goal of transitioning into a Project Manager role. The core areas of responsibility are listed below, however other duties and responsibilities may be required to meet business needs and objectives. Travel as needed is required.

Job Responsibilities (List is not inclusive) 

Administrative Support:

• Assist in the preparation and management of project documentation, including contracts, submittals, RFIs, and change orders.

• Track project progress, update schedules, and ensure that all documentation is accurate and up to date.

• Manage daily project-related administrative tasks, including electronic filing, tracking communications, and ensuring the proper flow of project information.

• Assist with the preparation of project reports, including budget status, schedule updates, and procurement tracking.


Project Coordination:

• Coordinate project meetings, including scheduling and preparing meeting agendas and minutes.

• Support the project manager in managing subcontractors, vendors, and internal teams by ensuring that project deliverables are being met.

• Maintain project files, ensuring that all documents are filed correctly and are easily accessible for future reference.

• Monitor project timelines and deliverables, providing updates to the project manager as needed.


Scheduling & Budget Tracking:

• Assist in the development and maintenance of project schedules, ensuring all tasks are tracked and deadlines are met.

• Support the tracking of project budgets, including monitoring expenditures and ensuring that costs are aligned with the budget.

• Assist in preparing cost estimates and proposals, ensuring all necessary materials and labor are accounted for.


Communication & Client Interaction:

• Serve as a point of contact for project-related communication, ensuring that all stakeholders are updated on project progress.

• Assist in preparing client-facing presentations, proposals, and other communication materials.

• Maintain strong relationships with clients, subcontractors, and vendors, ensuring that project expectations are met.


Learning & Development:

• Participate in ongoing training and development programs to increase project management skills and industry knowledge.

• Shadow and assist the Project Manager to learn about the key responsibilities of managing a project independently.

• Take on increasing levels of responsibility for managing specific aspects of projects as experience and proficiency grow.


Required Skills and Abilities:

• Strong organizational skills and attention to detail.

• Ability to multitask and manage multiple priorities effectively.

• Excellent communication skills, both verbal and written.

• Proficient in MS Suite (Excel, Word, Outlook, and Project), and construction project management software (e.g., Viewpoint, Procore, Bluebeam etc).

• Ability to learn quickly, take initiative, and work in a fast-paced environment.


Minimum Qualifications:

• Bachelor’s degree in construction management, engineering, or a related field or equivalent work experience.

• 1+ years of experience in construction or project coordination, ideally in the mechanical contracting industry.

• Strong interest in developing into a full Project Manager role.

• Knowledge of construction processes, project management principles, and industry standards is a plus.


Physical Requirements

• Required to stand, walk, and sit.

• Talk or hear, both in person and by telephone.

• Use hand (s) and fingers to handle or feel objects or controls.

• Reach with hand (s) and arm (s).

• Regularly required to stoop, kneel, bend, crouch and lift up to 25 pounds
