Job Responsibilities

  • Provide executive administrative support including: travel planning, meeting planning, answering calls, preparing/managing correspondence, managing project files/documents and ordering office supplies for Controller’s Team (and other senior executives as needed)
  • Assist with Controller’s Outlook calendar
  • Compile & distribute monthly reporting package for accounting organization
  • Assist with executive incentive compensation processing (goal letters, mid-year status updates, year-end attainment), including managing files, updating Excel tracking spreadsheet, processing edits to Excel templates, proofing, etc.
  • Process Bi-Weekly Payroll for Division, which includes ensuring all timesheets are properly filled out.
  • Assist with expense reports for Controller and support accounting team with various Concur expense report audits
  • Assist with preparing/editing PowerPoint slides for management presentations
  • Collaborate with other executive admin assistants and provide back-up and assistance as needed
  • Perform other administrative and accounting duties as assigned to support Peterbilt Division

Required Qualifications

  • High School graduate or equivalent required; BA/AA accounting/business degree strongly preferred
  • Minimum of 1-3 years’ experience supporting financial executives in an administrative role
  • Ability to work independently and manage multiple deadlines with changing priorities
  • Excellent PC skills required (Excel, Word, PowerPoint, Outlook, Concur)
  • Ability to maintain confidentiality is essential
  • Demonstrated strong verbal and written communication skills
  • Excellent organizational skills and detail oriented
  • Possess a professional demeanor and ability to professionally interact with all levels of management and representatives of the company as well as dealers and customers
