Position Summary

This position exists to serve a key role within the Office of Financial Aid and Scholarships and Call Center (OFASCC), acting as a bridge between financial aid operations, compliance and systems team to ensure efficient, accurate, and compliant delivery of financial aid services.

This position works closely with the Financial Aid Systems leadership to monitor and improve the business process, configure system solutions, maintain documentation, and support the effective use of the student information system and related financial aid technologies.

The coordinator serves as a primary liaison between technical and operational staff, helping to translate complex system functionality into practical processes, training materials, and communications that support staff success.

The role also manages and tracks system enhancement requests, assists with reviewing and resolving system-generated processing lists, and helps identify opportunities to improve service delivery and operational effectiveness.

In partnership with campus stakeholders, the coordinator contributes to enhancing student experience by ensuring financial aid systems and processes support student success.

The position further supports regulatory compliance by collaborating with compliance and operational teams to address current and emerging federal and state financial aid requirements. Though ongoing analysis, troubleshooting, reporting, training, and process documentation, the Operations Coordinator helps advance the strategic goals of Enrollment Management while supporting the efficient administration of financial aid programs.

Position Description
 

Position Specific Duties and Responsibilities:
 

  • Develop and maintain a strong working knowledge of the Office of Financial Aid’s Student Information System (SIS) as it impacts the processing of student accounts and financial aid.

  • Develop and maintain a strong working knowledge of Federal Student Aid systems and utilities such as EDE Express, FAFSA Processing Portal, FAFSA Processing System, Common Origination and Disbursement, and the National Student Loan Data System as they impact the import and export of student financial aid information.

  • Gather feedback from OFASCC operations, call center, and compliance teams through regular sessions regarding SIS functionality, business process, and system transition activities, and coordinate follow-up actions with the systems team.

  • Administrate the Systems team request intake platform to assign and resolve escalations as they arise and to support the gathering of feedback.

  • Access financial aid stakeholder training needs and develop documentation, reference materials, and knowledge transfer resources to support effective use of the SIS and foster training of internal staff as subject matter expert in areas of responsibility as well as general compliance related training.

  • Work with OFASCC system team leadership to monitor, track, and address issues with data files, communications, process scheduling, and review lists. Collaborating with the OFASCC systems team to research system and processing issues using federal, vendor, and professional association resources and recommend solutions or process improvements.

  • Processing and reviewing system generated exception reports assigned.

  • Provide seasonal support to the OFASCC Systems Analyst in tasks involving the importing, exporting, and storage of financial aid records.

  • Support in efforts of SIS transition by identifying Financial Aid end user requirements and acceptance criteria and cataloging required knowledge transfer steps

Requirements
 

Required Qualifications: - To be successful in this position, you must have:

  • Bachelor’s degree or 5 years’ experience working at a college or university.

  • 2 years of experience in higher education administration.

  • Experience using a student information database.

  • Experience supporting and/or coordinating projects.

Preferred Qualifications:

  • A master’s degree in education, business, marketing or closely related field.

  • Experience using Banner Financial Aid Software or Workday ERP

  • Bilingual Language (Spanish/English) – If fluent in another language, employees may be asked to counsel students/parents in that language.

  • 2 years of experience in the field of financial aid in a university or college

  • Demonstrated experience with project management or office administration.

  • Experience using Microsoft Office Suite

Work Hours 

  • Full-time, 40 hours per week, Exempt 

  • Monday – Friday, 8:00am – 5:00pm 

  • Evenings and weekend work: As needed 

  • Hybrid schedule: 3 days in office and 2 days remote

  • Travel: None 
     

Salary for Announcement 
 

We anticipate the qualified candidate to be placed between $58,189 - $61,500. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. 
 

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
