Primary Function:

 

Under the direction and supervision of the Service Manager, this position is responsible for maintaining workflow for the accessories department including scheduling and writing repair orders. Performs all duties within the objectives, standards, and policies of Willis Automotive.


Duties and Responsibilities: 

 

  • Communicates regularly with all service consultant so all are aware of work in progress and flow on both sides of shop
  • Monitor incoming accessory requests and provide response to sales/finance to confirming scheduling, parts availability, etc.
  • Maintain tracking log of accessory cars in process and able to provide real time status info for accessory vehicles
  • Responsible for assigning/distributing work fairly to all technicians based on their level of expertise and qualifications
  • Identifies the next available qualified technician to perform the specified installation work. 
  • Obtains the necessary customer and vehicle data and enters into the company sanctioned software
  • Writes the Repair Order with exact installation instructions and information needed updates Repair Orders as needed
  • Writes repair orders for pre-loaded XPEL work
  • Communicates with both internal and external guests with regard to scheduling of vehicle accessories. Sets appropriate expectations with guests and follow up as needed with Accessories Sale’s guests. Assist in the coordination of drop offs and pickups in order to meet guest’s expectations. 
  • Complete accurate paperwork and computer entries for all clients
  • Oder XPEL and other products for the shop as needed
  • Respond to phone and email inquiries about accessories service
  • Works closely with the Accessories Service Advisor to ensure that all work is moving through the shop timely and accurately. 
  • Implements and maintains quality control on all comebacks to ensure the work is done satisfactorily. 


What we need from you:

 

  • HS Diploma / GED required
  • Must be a success-driven, customer service oriented team player
  • Must have the desire to learn and provide superior customer service – before, during, and after the sale
  • Prefer to have previous scheduling experience, automotive experience, or commensurate work experience
  • Working knowledge of computer applications 
  • Must have a current valid driver's license & ability to maintain insurability
