Administrative Assistant

Provide organized support for the people and projects behind the mission.

The Animal Rescue League of Iowa is seeking a professional, organized, and detail-oriented Administrative Assistant to support the daily administrative needs of the Development department and members of ARL leadership. This role provides high-level administrative support, helps coordinate projects and meetings, supports fundraising and donor-related activities, and helps keep important work moving forward.

This is a great opportunity for someone with administrative, office support, executive support, nonprofit, fundraising, customer service, or project coordination experience who enjoys staying organized, supporting others, managing details, and contributing to a mission-driven organization.

Schedule

  • Full-time position
  • Monday through Friday between 8:00 a.m. and 5:00 p.m.
  • Schedule may include weekdays, occasional evenings, weekends, or event support based on Development and organizational needs.

The Animal Rescue League of Iowa is Iowa’s largest nonprofit animal welfare organization, helping animals and the people who love them through sheltering, adoption, veterinary care, animal services, community programs, and pet support resources.

Across multiple locations and programs in the Des Moines metro, the ARL works every day to provide compassionate care, practical support, and trusted resources for animals and families in our community.

What You’ll Do

  • Provide administrative and secretarial support.
  • Manage calendars, schedule appointments, coordinate meetings, prepare agendas and materials, and record meeting minutes.
  • Support fundraising efforts, including mailings, stewardship, grant reports, planned giving, campaign support, donor events, and donation-related administrative tasks.
  • Assist with reports, spreadsheets, correspondence, presentations, emails, letters, memos, and other documents.
  • Coordinate projects, communicate updates, track progress, and help ensure work is completed accurately and on time.
  • Answer and screen calls professionally while relaying messages and information appropriately.
  • Support facility rentals, contracts, office supply ordering, event supplies, invoices, expense reports, travel arrangements, and A/V or basic technology troubleshooting.
  • Maintain organized filing systems, spreadsheet files, and administrative records.
  • Handle confidential and sensitive information with professionalism, discretion, and care.
  • Support ARL events, including administrative preparation and event-day support as needed.

What We’re Looking For

  • High school diploma or GED required.
  • Associate’s or bachelor’s degree in a related field preferred.
  • At least one year of administrative, office support, executive support, nonprofit, customer service, or related experience preferred.
  • Valid driver’s license with a satisfactory driving record required.
  • Strong organization, attention to detail, and ability to manage multiple priorities.
  • Excellent written and verbal communication skills, including accurate spelling and grammar.
  • Professionalism, confidentiality, and sound judgment when handling sensitive information.
  • Strong customer service, problem-solving, and interpersonal skills.
  • Proficiency with Microsoft Office Suite.
  • Accurate and efficient typing skills required.
  • Basic math skills required.
  • Budgeting, reporting, or fundraising administrative experience preferred.

Physical and Work Environment Requirements

This position works primarily in an office environment and may require sitting, standing, computer-based work, attending meetings, supporting events, and occasionally lifting up to 50 pounds.

The role may occasionally involve outdoor work or exposure to animals, animal odors, animal waste, moderate noise, contagious animal diseases, and the possibility of bites or scratches while following established safety procedures.
