Position Summary

The primary purpose of this role is to manage the front desk at the law school clinic, including processing incoming calls and visitors, managing incoming and outgoing mail, maintaining and ordering supplies, clerical support to the clinical program and the Assistant Dean of Experiential Education. This role is also the point person for CLIO, the legal case management system used by the program and supports the Federal Pro Se Clinic


Essential Duties and Responsibilities

  • Front desk duties, including managing all incoming calls.If the clinic cannot assist a caller, providing the caller with information about other clinics, agencies and legal providers that may be able to assist. Process incoming and outgoing mail. Provide building access and greet and welcome visitors including clinic clients, students, and other Detroit Mercy personnel. Order and inventory supplies, as needed. Assist with reporting building and equipment issues. Manage conference room reservations. 
  • CLIO – establish and maintain student accounts and clinic files in CLIO, and generate reports of clinical hours and other data as needed.  
  • Federal Pro Se Legal Assistance clinic – provide CLIO and other support as needed, including maintaining case files and support to the Clinic Director.  
  • Other clinic support as needed 

Requirements

  

Minimum Qualifications

  • Education – A high school diploma or GED.
  • Employment – Two years to five years (Equivalent combination of education and employment).

Preferred Qualifications

  • Adaptability and team work a must.
  • Positive attitude.

Knowledge, Skills, and Abilities

  • Excellent customer service skills a must as this position interacts regularly with students, faculty, clients and potential clients who are seeking assistance.
  • Excellent verbal and written communication skills.
  • Ability to answer and direct phone calls and to take and distribute accurate messages.
  • Ability to receive, sort and distribute incoming mail.
  • Ability to prepare and send outgoing mailings and packages.
  • Ability to photocopy, scan and fax documents as required.
  • Ability to type documents and correspondence as necessary.
  • Data entry into electronic case management system requiring accuracy and attention to detail.
  • Proficient in use of email and internet.
  • Monitoring and ordering inventory of office supplies.
  • Knowledge of relevant software applications including MS Office.
  • General organization and time management skills necessary, including the ability to multi-task. 
  • Report with building issues as needed.
  • Ability to maintain confidentiality.
  • Experience with CLIO case management system a plus. 
  • Legal experience or education a plus. 

Physical Requirements

Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).


Work Environment

Regular exposure to favorable conditions such as those found in a normal office.

Monday – Friday, 8:30 am – 5:00 pm
